Add records to Zoho Creator from new WooCommerce orders
Every new WooCommerce order adds a record to a form in your Zoho Creator app, so the custom tools you built in Creator work from up-to-date sales data without manual imports.

What this workflow does
Zoho Creator is where many teams build their own apps: a fulfilment tracker, a warranty register, a dealer portal. Those apps need order data, and pasting it in from WooCommerce after each sale doesn't last long. This workflow writes each order into Creator for you.
The WooCommerce trigger starts a run as soon as your store records a new order. FlowMattic hands the order details to Zoho Creator, where Add Record adds a new record to the form you point it at. You decide which order values fill which form fields, such as order number, customer name, email, total and status.
A record is added for every new order, with nothing filtered out. Orders that are created but not yet paid count too, since the trigger is order creation, not payment. Changes to an order later, like a refund or a status update, don't reach Creator through this workflow. Task History lists each run and the response from Zoho Creator.
Fulfilment tracker built in Creator
Your warehouse team works from a Creator app with packing and shipping fields. Each WooCommerce order arrives there as a record, ready for them to update as they pack.
Warranty register for an electronics shop
Every sale becomes a Creator record with the buyer and product, so a later warranty claim can be checked against the original order.
Dealer commission app
A Creator app works out commission for partner referrals. New WooCommerce orders feed it, with any referral code you capture at checkout mapped in.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
WooCommerce New Order CreatedStarts with each order your shop takes in. Its details, such as items, totals and the customer's billing data, are passed to the next step.
Zoho Creator Add RecordAdds a new record to a Zoho Creator form. Connect Zoho, point the step at your Creator form, and map WooCommerce order values into the form's fields.
What you need
- FlowMatticCore
- WooCommerce PluginPlugin
- Zoho Creator AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add a Filter after the trigger that continues only for paid statuses, such as processing or completed, if your Creator app should hold paid orders alone.
- Map the WooCommerce order ID into its own Creator field. A second workflow can then match records on that value when you need to update them.
- For one record per product line rather than per order, add an Iterator over the order's line items before the Zoho Creator step.
Questions about this workflow
Are unpaid WooCommerce orders sent to Zoho Creator?
Yes. The trigger fires on order creation, so pending or failed orders can arrive too. A Filter on the order status after the trigger keeps them out.
Does Zoho Creator get updated when the order status changes?
No. This workflow only adds a record when the order is first created. Status changes need a separate workflow, for example one using Zoho Creator's Update Records action, which updates records matching criteria such as the order ID.
Do I need a form set up in Zoho Creator first?
Yes. Add Record writes into an existing form in one of your Creator applications, so create the form and its fields before mapping.
Will older WooCommerce orders be copied to Creator?
No. Creator receives orders placed from the moment the workflow is switched on. Bring older ones in with an export and Creator's own import.
