Create a Google Docs file from every new Rezdy order

Each new Rezdy order creates a new Google Docs document, with the order details you map placed in its title and content, so every booking has its own doc you can share, edit or print.

The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Tour and activity businesses sometimes need a written record per booking: a run sheet for the guide, a note for the driver, or a document the office prints. Writing each one from the Rezdy order screen is slow. This workflow creates a Google Doc for every new order.

Each booking that lands in Rezdy as a new order starts a run. FlowMattic passes the order data to the Create Document action in Google Docs, which creates a new doc with optional content. You build the document name and text from the order details, for example a title that includes the order number.

The document holds the text you compose in the step; it isn't built from a styled template. If you want a designed layout with your branding, Google Docs also has a Create Document From Template action that replaces placeholders in a template you prepare. Each order creates its own document. Task History shows each run and the response from Google.

Guide run sheets

Each new tour order produces a doc listing the guest, product and date, which the guide opens on their phone before the tour starts.

Transfer and pick-up notes

A transfer company creates a doc per Rezdy order with pick-up details for the driver to check on the day.

Printed booking records

The office prints the Google Doc for each order and files it, keeping a paper record alongside Rezdy.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Rezdy New Order

Fires when a new order is created in your Rezdy account. The order data becomes available to place in the Google Doc.

  2. Step 2Action
    Google Docs Create Document

Creates a new Google Doc. Build its name and body from the Rezdy order details, then run a test order to check the document reads well.

What you need

  • FlowMatticCore
  • Rezdy AccountAccount
  • Google Docs AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • For a branded document, replace this step with Create Document From Template and add placeholders to a template doc that the order details fill in.
  • Put the order number at the start of the document name, so docs sort in order and are easy to find in Google Drive search.
  • Add a Gmail step after the doc is created to send the document link to the guide or the office.

Questions about this workflow

Is the Rezdy order document created from a template?

No. Create Document makes a new doc with the content you write in the step. Use Create Document From Template if you need a designed layout.

What happens when a Rezdy order is changed after the doc is created?

Nothing. This workflow only reacts to new orders. Rezdy has an Updated Order trigger you could use in a separate workflow.

Where are the Rezdy order documents saved?

They belong to the Google account you link during import. Run a test to see where the step places new docs, and move them into a shared folder if your team needs them.
