Create a HubSpot CRM contact for each new Zoho Billing customer

When a customer is created in Zoho Billing, FlowMattic creates a contact for that person in HubSpot CRM, so the people you bill also appear where your sales and marketing teams work.

Zoho Billing (Trigger) HubSpot CRM

2 steps Setup ~5 min Used on 2.9k sites Free to import

The Create a HubSpot CRM contact for each new Zoho Billing customer workflow on the FlowMattic canvas, with 2 steps across Zoho Billing (Trigger), HubSpot CRM
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Billing and sales often live in separate tools. A customer set up in Zoho Billing for invoicing is invisible in HubSpot unless someone types them in again. This workflow adds them for you each time a billing customer is created.

The Zoho Billing (Trigger) app watches your Zoho Billing account and starts a run when a new customer record appears. The customer's details become data you can use in the next step. FlowMattic then runs the Create Contact action in HubSpot CRM.

The template arrives without field mappings. After import, connect both accounts, create a test customer in Zoho Billing, and map its details, such as the email and name, into the HubSpot step. A test run shows exactly which details Zoho Billing sends and which HubSpot accepts.

Each run is logged in Task History, along with any error HubSpot returns.

Upselling to paying customers

A software company bills subscriptions in Zoho Billing and runs email campaigns from HubSpot. New paying customers show up in HubSpot ready for product update emails.

Account managers working from HubSpot

Account managers track calls and notes in HubSpot. When finance sets up a new customer for invoicing, the contact is already there for them.

Keeping one customer view

A services firm creates customers in Zoho Billing when a contract is signed. HubSpot gets a matching contact so marketing and sales see the same people.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Zoho Billing (Trigger) Customer Created

Starts the workflow when a new customer is created in your Zoho Billing account. Connect Zoho Billing on import; the customer's details are passed on for mapping.

  2. Step 2Action
    HubSpot CRM Create Contact

Creates a contact in HubSpot CRM from the Zoho Billing customer. Map the email and name, plus any other details you want, after a test run shows what Zoho Billing sends.

What you need

  • FlowMatticCore
  • Zoho Billing (Trigger) AccountAccount
  • HubSpot CRM AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a Filter after the trigger if only some billing customers belong in HubSpot, for example those whose email is not empty.
  • Map the company name from Zoho Billing into the HubSpot contact if you bill businesses, so the sales team sees who the person works for.
  • Create a test customer in Zoho Billing after import and check both Task History and HubSpot before you turn the workflow on for real.

Questions about this workflow

What if the Zoho Billing customer already exists in HubSpot?

HubSpot normally treats a contact's email as unique, so creating a second contact with the same address can fail. Task History shows the error on the HubSpot step, and the existing contact stays as it was.

Are my existing Zoho Billing customers copied to HubSpot?

No. Only customers created after the workflow is turned on start a run. Older customers need to be imported into HubSpot another way.

Does a change to a Zoho Billing customer update HubSpot?

No. This workflow reacts to new customers only. Edits made later in Zoho Billing don't reach HubSpot.
