Create a HubSpot CRM contact from each new Aircall contact

Every contact your team creates in Aircall is copied into HubSpot CRM as a new contact, so the people you call also show up in the CRM your sales team works from.

Aircall HubSpot CRM

2 steps Setup ~5 min Used on 731 sites Free to import

The Create a HubSpot CRM contact from each new Aircall contact workflow on the FlowMattic canvas, with 2 steps across Aircall, HubSpot CRM
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Agents save callers in Aircall while they are on the phone, but sales and marketing usually work from HubSpot. Copying each new phone contact across by hand is easy to forget, and the CRM ends up missing people your team already talks to. This workflow does the copy each time an Aircall contact is created.

The Aircall trigger fires when a new contact is created on your Aircall account. FlowMattic passes the contact's details to HubSpot CRM, where Create Contact builds a new contact from whichever Aircall values you map into it.

This HubSpot action never updates anyone. It doesn't look for an existing HubSpot record first, so a person who is already in HubSpot may be refused as a duplicate email, and Task History will show HubSpot's response. Changes made later to the contact in Aircall are not sent across, because the trigger only fires on creation.

Inbound sales line

An agent saves a new caller in Aircall during a pricing call. The contact appears in HubSpot so the account executive can log the next step against it.

Support calls that turn into leads

Support agents add callers to Aircall as they go. Marketing sees those people in HubSpot and can include them in later campaigns.

Shared contacts for a new team

A manager adds key client contacts in Aircall so every agent sees the caller's name. Each one created there is also added to HubSpot for the account team.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Aircall Contact Created

Fires when a contact is created on your Aircall account. The contact's details from Aircall are passed on for mapping in the HubSpot step.

  2. Step 2Action
    HubSpot CRM Create Contact

Adds a contact in HubSpot CRM from the Aircall details you map into it. Run a test to see which HubSpot properties the step lets you fill. Connect your HubSpot account when you import the workflow.

What you need

  • FlowMatticCore
  • Aircall AccountAccount
  • HubSpot CRM AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Create one test contact in Aircall after import so FlowMattic captures its fields, then map its values into the HubSpot step.
  • If you only want Aircall contacts that have an email, add a Filter after the trigger that continues when the email field is not empty.
  • Add a Slack Send Channel Message step after HubSpot to tell the sales channel when a new phone contact has been added to the CRM.

Questions about this workflow

What happens if the Aircall contact already exists in HubSpot?

Create Contact doesn't check first. HubSpot may refuse a contact whose email it already holds, and Task History shows that response on the HubSpot step. The existing record is left as it was.

Do edits to an Aircall contact update HubSpot?

No. The trigger fires only when a contact is created, so later changes in Aircall don't reach HubSpot. You'd need a separate workflow for updates.

Does the HubSpot contact need an email from Aircall?

Not every Aircall contact has one. Send a test contact without an email and check Task History to see how HubSpot responds, then add a Filter on the email field if you want to skip those.

Do I need special access in Aircall or HubSpot?

You connect both accounts when you import the workflow. Use an Aircall account that can see the contacts you want copied and a HubSpot user allowed to create contacts.
