Create a HubSpot CRM contact when a new Ordergroove subscriber is created

What this workflow does
Subscribers are some of your most valuable customers, yet they often exist only in the subscription platform. When support or account managers work in HubSpot, a subscriber who isn't there is invisible to them. This workflow adds each new subscriber to HubSpot as they sign up.
This template starts from the Subscriber Created event in Ordergroove, which Ordergroove sends when a customer sets up their very first subscription. A customer who adds another subscription later won't trigger it again. FlowMattic passes the customer's details to HubSpot CRM, where Create Contact adds a new contact with the values you map.
The HubSpot action here can't update a contact. If the customer is already in HubSpot, perhaps from a newsletter form or an earlier purchase, HubSpot may refuse a duplicate email, and Task History shows its response for that run. Nothing else changes in HubSpot as part of this flow, so lists, deals and lifecycle stages stay with you.
Coffee or pet food subscriptions
A store sells repeat deliveries through Ordergroove. Each first-time subscriber becomes a HubSpot contact, so the support team sees them when a ticket comes in.
Segmenting subscribers in HubSpot
Marketing builds HubSpot lists from contact properties. Having every new subscriber in the CRM lets them separate subscribers from one-off buyers.
Account managers for wholesale subscribers
Businesses that subscribe to regular supply orders show up in HubSpot right away, ready for an account manager to follow up.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Ordergroove Subscriber CreatedFires when a customer creates their first Ordergroove subscription. Their customer details are passed on to map into the HubSpot contact.
HubSpot CRM Create ContactCreates a new HubSpot contact from the subscriber's details. Map the Ordergroove email and name values into the contact and connect your HubSpot account on import.
What you need
- FlowMatticCore
- Ordergroove AccountAccount
- HubSpot CRM AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Create a new subscription in an Ordergroove test environment or with your own account after import, so you can see which customer values the event carries before mapping them.
- If some subscribers may already be in HubSpot, add a Get Contact step before Create Contact and a Filter that continues only when no contact was found.
- Add a HubSpot Add Contact To List step after Create Contact to drop each new subscriber into a static list for your subscriber emails.
Questions about this workflow
Does a customer's second Ordergroove subscription create another HubSpot contact?
No. The event is sent for a customer's first subscription only, so anything they add afterwards won't start another run.
What if the Ordergroove subscriber already exists in HubSpot?
Create Contact doesn't update existing contacts. HubSpot may refuse a duplicate email, and Task History shows its reply. Add a lookup step first if this happens often.
Are my current Ordergroove subscribers copied into HubSpot?
No. Only customers who start their first subscription after the workflow is on are added.
Does the workflow create a deal in HubSpot as well?
Not as imported. The single HubSpot step adds a contact and nothing more. HubSpot CRM's Create Deal action can be added as a further step if you track subscriptions as deals.
