Create a Todoist task to follow up on each new Formlets submission

Every new Formlets submission creates a Todoist task, with the respondent’s details and answers in it, so each enquiry sits on your to-do list until you follow it up.

The Create a Todoist task to follow up on each new Formlets submission workflow on the FlowMattic canvas, with 2 steps across Formlets, Todoist
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Form enquiries are easy to read and then forget, especially when they arrive by email between other messages. A task on your list keeps the follow-up in front of you until it's done. This workflow adds that task to Todoist for every Formlets submission.

The Formlets trigger, New Submission, fires for a new form submission. FlowMattic passes the answers to Todoist, where Create Task creates a new task. You write the task text from the answers, for example "Call back" followed by the person's name, and include their contact details so you have them when you act on it.

Each submission creates one task, since there is no Filter. Todoist doesn't merge similar tasks, so the same person submitting twice gives you two tasks. The workflow only creates tasks; finishing or deleting one in Todoist doesn't change anything in Formlets.

Freelancer enquiry follow-ups

A designer gets project enquiries through a Formlets form. Each one becomes a Todoist task to reply with a quote.

Call-back requests for a small shop

Customers ask for a call back through a form on the shop's site. The owner sees a task with their name and number in Todoist.

Volunteer sign-ups

A charity collects volunteer sign-ups in Formlets. Each submission adds a task to contact the volunteer about their first shift.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Formlets New Submission

Starts a run whenever someone sends in your Formlets form. The answers, such as name, email and message, are passed to Todoist for the task.

  2. Step 2Action
    Todoist Create Task

Creates a new task in Todoist built from the Formlets answers. Write the task text with the person's name and request, then run a test to see what else the step lets you set.

What you need

  • FlowMatticCore
  • Formlets AccountAccount
  • Todoist AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a Filter after the Formlets trigger that continues only when the respondent asked to be contacted, so newsletter-only entries don't fill your task list.
  • Put the respondent's email or phone number in the task text, so you can follow up straight from Todoist without opening Formlets.
  • Add a Delay before the Todoist step if you prefer the task to appear later, for example a few hours after the enquiry, rather than the moment the form is sent.

Questions about this workflow

Does every Formlets submission become a Todoist task?

Yes, as imported. There is no Filter, so each new submission runs the Create Task step once.

Which Todoist project does the Formlets follow-up task go into?

That depends on how the Create Task step is set up after import. Run a test submission and check where the task appears in Todoist.

Can the Todoist task include the full Formlets message?

Yes. Map the message answer into the task text. Long messages make long task titles, so consider putting only the name and topic up front.

Will completing the Todoist task notify the person who filled in the form?

No. Nothing in this flow writes back to the person or to Formlets. Replying to the person is up to you.

It is self hosted and wordpress based. So you can effectively run this on any shared hosting with unlimited tasks. And new integrations are constantly being added. It's crazy how valuable this tool is.

The software works really well, and the team is adding integrations constantly, so I'm positive it eventually will catch up with Zapier. The flows are very easy to create and if you have any doubt, the team will give you great support.
