What this workflow does
People who book a meeting with you are often the people you most want to keep in touch with. Exporting them from Zoho Bookings and importing them into Mailchimp every week is easy to skip. This workflow adds each new booker to your Mailchimp audience as the appointment is booked.
The Zoho Bookings trigger is Appointment Booked, which fires when a new appointment is booked. FlowMattic receives the booking, including the customer details Zoho Bookings sends. The Mailchimp step runs Add New Member, which adds the person to the audience you pick, or updates them when they already exist. Map the booker's email address, and their name if you want it stored.
Because Add New Member updates existing members instead of failing, someone who books for the second time is not added twice. Make sure the people you add have agreed to receive your emails. You can review every booking's run, and what Mailchimp returned for it, in Task History.
Follow-up emails after consultations
A financial planner's booked clients join a Mailchimp audience, so the planner can send preparation notes and later updates from one place.
Salon clients and seasonal offers
Each customer who books a Zoho Bookings appointment is added to the salon's Mailchimp audience and receives its seasonal newsletter.
Demo bookings for a software team
Prospects who book a product demo are added to the audience the marketing team uses for product news.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Zoho Bookings Appointment BookedFires when a new appointment is booked in Zoho Bookings. Make a test booking after you connect the account so the customer's name and email can be mapped.
Mailchimp Add New MemberAdds the booker to your chosen Mailchimp audience, or updates them if the address is already a member. Map the email from the booking, plus name details if you collect them.
What you need
- FlowMatticCore
- Zoho Bookings AccountAccount
- Mailchimp AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Only one service should feed this list? Add a Filter after the trigger that continues when the booked service name matches, so other appointments leave Mailchimp alone.
- If your booking form asks for marketing consent, add a Filter that continues only when that answer is yes before the Mailchimp step.
- Send a test booking with your own email and check the member in Mailchimp to confirm the name fields landed correctly.
Questions about this workflow
What if the Zoho Bookings customer is already in my Mailchimp audience?
Add New Member updates an existing member instead of creating a duplicate, so the person stays on the list once with the details from the latest booking.
Can Zoho Bookings customers go into more than one Mailchimp audience?
Yes. Add another Add New Member step after the first and point it at the second audience. Both run for every booking.
Do I need the booking form to collect an email address?
Yes. Mailchimp identifies members by email, so the booking must include the customer's address for the step to work.
Will past Zoho Bookings appointments be added to Mailchimp?
No. Only appointments booked after you switch the workflow on are sent to Mailchimp.
