Create a Zoho Books estimate for every new WooCommerce order

Every new WooCommerce order looks up the buyer in Zoho Books, creating the contact if no match exists, and then creates an estimate for that contact from the order.

WooCommerce Zoho Books

3 steps Setup ~5 min Used on 803 sites Free to import

The Create a Zoho Books estimate for every new WooCommerce order workflow on the FlowMattic canvas, with 3 steps across WooCommerce, Zoho Books
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Some stores need a formal quote in their accounting system for each order: wholesale buyers who want paperwork before paying, or teams that turn estimates into invoices once stock is confirmed. Typing each order into Zoho Books takes time. This workflow creates the estimate for you as orders arrive.

Each time a shopper checks out, the WooCommerce trigger starts a run with the new order. The first Zoho Books step searches your contacts by name or email and creates a new contact when it finds no match, so returning buyers reuse their existing record. The second Zoho Books step creates an estimate.

Neither Zoho Books step comes mapped. After import you connect Zoho Books, map the buyer's name and email into the contact lookup, then map the contact from that step's result into the estimate along with the order's products, quantities and prices. A test order shows what each step expects and returns.

The trigger has no condition, so every order becomes an estimate, whatever its status or payment method. Add a Filter if only some orders should be quoted. Task History lists each run and Zoho Books' response.

Wholesale orders that need a quote first

A trade supplier lets business buyers place orders on the site, then sends the Zoho Books estimate for approval before the invoice goes out.

Made-to-order products

A furniture maker records each WooCommerce order as an estimate, confirms materials and lead time, then converts it in Zoho Books.

Accounting team review

A shop whose accountant works only in Zoho Books gets every web order there as an estimate with the customer already linked.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    WooCommerce New Order Created

Starts the workflow whenever a new order is created in WooCommerce. Billing details, line items and totals from the order are available for the Zoho Books steps.

  2. Step 2Action
Zoho Books Find or Create Contact

Searches Zoho Books for the buyer by name or email and creates a contact if none matches. Map the order's billing name and email after import so the lookup has something to search with.

  3. Step 3Action
    Zoho Books Create Estimate

Creates a new estimate in Zoho Books. No values are set yet, so map the contact from step 2 and the order's products, quantities and prices, then check the result with a test order.

What you need

  • FlowMatticCore
  • WooCommerce PluginPlugin
  • Zoho Books AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Put a Filter between the WooCommerce trigger and the Find or Create Contact step that checks the payment method or a customer role, so only wholesale or quote-on-request orders reach Zoho Books.
  • For orders with several products, add Zoho Books' Add Item to Estimate as a new last step, with an Iterator over the order's line items between Create Estimate and that new step.
  • Use the billing email as the lookup value rather than the name alone, since two customers can share a name while an email address belongs to one person.

Questions about this workflow

Will a returning WooCommerce customer get a second Zoho Books contact?

Not when the lookup finds them. Find or Create Contact searches by name or email first and only creates a contact when nothing matches.

Are the order's products copied into the estimate?

Only after you map them. The Create Estimate step ships without mapping, so you match the order's items, quantities and prices to the estimate's line fields.

Does this create an invoice in Zoho Books as well?

No. The workflow stops at the estimate. Turning an accepted estimate into an invoice is done in Zoho Books itself.

Do cancelled or failed WooCommerce orders become estimates?

The trigger fires when the order is created, before you know how it ends. A Filter on the order status, placed right after the trigger, keeps unwanted ones out.

It's very straightforward, has a lot integrations and they work well. It is one thing to 'integrate' new external software, but integrating it well, with lots of options is where FlowMattic shines.

Works within WordPress, so it can easily access any inbuilt WP functions or custom functions and use them in your flow. It's easy to use and already has many useful integrations built.
