Email the Zoom meeting summary with Gmail when it's ready

When Zoom has a summary ready for a meeting you hosted, this workflow emails it from your Gmail account to the people you choose, so the recap reaches inboxes without you copying it out of Zoom.

What this workflow does

Zoom can produce a summary of the meetings you host, but it stays in Zoom unless someone shares it. If you send recaps after calls, copying the summary into an email each time is a chore that gets skipped. This workflow sends it from your Gmail account once Zoom has it ready.

The Zoom trigger fires when a summary is available for a meeting you hosted. FlowMattic receives the event and passes its data to Gmail, where the Send Email action sends a message from your connected account. You set the recipients, write the subject and map the summary content and meeting details into the body.

Every summary that becomes available starts a run, so each hosted meeting with a summary produces one email. The recipient is whatever you set in the Gmail step; the template doesn't look up who attended. Task History records each email that was sent.

Recap for your own records

Send each summary to your own inbox or a shared mailbox, giving you a searchable archive of meeting notes in Gmail.

Team stand-up notes

The summary of your recurring stand-up goes to the team's group address, so anyone who missed the call can read what was covered.

Client call follow-ups

A consultant sends each client-call summary to their account manager, who reviews it and forwards the parts the client needs.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Zoom New Meeting Summary

Fires when Zoom has a summary available for a meeting you hosted. The event's meeting details and summary data are passed on for the email.

  2. Step 2Action
    Gmail Send Email

Emails the summary through the Gmail account you connect on import. Set the recipients, write a subject such as the meeting topic, and map the summary into the message body.

What you need

  • FlowMatticCore
  • Zoom AccountAccount
  • Gmail AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • If the event data doesn't include the full summary text, add Zoom's Get Meeting Summary action before Gmail and map its result into the email instead.
  • To email the people who joined, add Zoom's Find Meeting or Webinar Participants action before Gmail and map the addresses it returns, after checking a test run.
  • Add a Filter after the trigger on the meeting topic so only certain meetings, such as client calls, send a summary email.

Questions about this workflow

Does the Zoom summary go to everyone who attended?

Not as imported. It goes to the recipients you set in the Gmail step. Add Zoom's Find Meeting or Webinar Participants action before it if you want to email attendees.

Which Zoom meetings start this workflow?

Meetings you hosted that end up with a summary available in Zoom. Meetings without a summary don't trigger it.

Is the full meeting summary included in the Gmail message?

You map it into the body. Run a test after import to see which summary fields the event carries; if it's only partial, use Get Meeting Summary first.

Can I save the Zoom summary as a draft instead of sending it?

Swap the Send Email step for a Gmail draft action, if you want to review each summary before it goes out.

An excellent replacement to Zapier with unlimited tasks and full control over data. Customer service is fantastic! Have had hands-on support from owner who is ultra helpful and they have even been integrating new SAAS options continuously.

Brad

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.
