Send a confirmation email through Gmail when a Weezly booking is created
When someone schedules an event with you in Weezly, this workflow sends them an email from your Gmail account, so the booking confirmation comes from your own address in your own words.

What this workflow does
A confirmation from your own inbox reads like a personal note, and replies come straight back to you. Writing one by hand for each booking is the part that slips on busy days. This workflow sends it for you as soon as the booking exists.
The Weezly Invitee Created trigger fires when an invitee schedules an event and passes the booking details along. FlowMattic then sends an email through Gmail. Map the invitee's email address as the recipient, and write a subject and message that pull in their name, the event and the time from the Weezly data.
Each new booking sends one email. Cancellations do not start this workflow, because Weezly has a separate Invitee Canceled trigger for those. Task History lists every email sent along with the booking it came from.
Consultants confirming discovery calls
A prospect books a call through Weezly and gets an email from your Gmail address with the time and a short note about what to prepare.
Tutors and coaches
Each new session booking sends a confirmation from your own address, which parents or students can reply to with questions.
Sales demos
When a lead books a demo, the email confirms the slot and lists a few points you plan to cover, written once in the template.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Weezly Invitee CreatedRuns when an invitee schedules an event with you in Weezly. The booking details, including the invitee's email, are passed on for the email step.
Gmail Send EmailEmails the invitee from the Gmail account you link in FlowMattic. Map the Weezly invitee's email as the recipient, then write the subject and body using their name and event details.
What you need
- FlowMatticCore
- Weezly AccountAccount
- Gmail AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Make a test booking in Weezly after import so FlowMattic captures the real fields, then build the email from them.
- Build a second workflow on Weezly's Invitee Canceled trigger to send a short email when someone cancels, keeping both messages in your Gmail sent folder.
- Add a Filter after the trigger if only some event types should get this email, using the field that names the event.
Questions about this workflow
Will invitees also get Weezly's own confirmation?
This workflow does not change your Weezly settings. Check your Weezly notification settings if you want only the Gmail message to go out.
Which Gmail address is the confirmation sent from?
From the Gmail account you connect in FlowMattic. Replies go to that inbox.
What happens if a Weezly invitee reschedules?
That depends on whether Weezly reports a reschedule as a new booking. Try it with a test booking and check Task History to see if a run started.
