Send a congratulations email via Gmail when a Teachfloor element is completed

Each time a learner completes an element in Teachfloor, this workflow sends an email from your Gmail account, so you can congratulate them in your own words as they move through the course.

The Send a congratulations email via Gmail when a Teachfloor element is completed workflow on the FlowMattic canvas, with 2 steps across Teachfloor, Gmail
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Learners on a Teachfloor course work through elements one at a time. A short note from the instructor after each one is a personal touch, but sending them by hand doesn't scale past a few students. This workflow sends the email for you.

The Teachfloor trigger, Element Completed, fires when an element is completed and passes the details Teachfloor sends to FlowMattic. The next step is Gmail Send Email, which sends a message from your connected Gmail account. You decide who receives it and write the message, placing Teachfloor values in it where you like.

Note that every completed element sends an email. On a course with many elements, a learner could get one message after each. If you only want to mark certain milestones, add a Filter on a value that identifies those elements. Run a test completion after import to see which learner details Teachfloor provides, including the address to send to.

A cohort course with a few key assignments

Your course has a handful of graded assignments as elements. With a Filter on those elements, learners get a congratulations email from you as they finish each one.

Coaching programmes with personal follow-up

A coach running a small Teachfloor programme sends a note from their own Gmail after each session element, so learners can reply to it directly.

Copying yourself on completions

Send the email to your own address instead of the learner's, giving you a record in Gmail each time someone completes an element.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Teachfloor Element Completed

Fires when a learner completes an element in Teachfloor. Connect your Teachfloor account, and the details Teachfloor sends about the completion become available to use in the email.

  2. Step 2Action
    Gmail Send Email

Emails the learner, or anyone you choose, through the Gmail account you connect. Address it using the Teachfloor data, then write the message, adding values from the completion where you want them.

What you need

  • FlowMatticCore
  • Teachfloor AccountAccount
  • Gmail AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a Filter after the trigger on a value that identifies the element, so only the milestones you choose send a congratulations email.
  • Add a Delay before the Gmail step if you want the note to arrive a little later rather than the moment the element is done.
  • Send a test completion to your own address first and read the email as a learner would before you switch the workflow on.

Questions about this workflow

Will learners get an email for every Teachfloor element they complete?

Yes, as imported. Each Element Completed event runs the workflow. Add a Filter if you only want emails for certain elements.

Which Gmail address sends the congratulations email?

Whichever Gmail account you link to the Send Email step when you set up this Teachfloor workflow. Replies from learners come back to that inbox.

Can I send an email when the whole Teachfloor course is finished instead?

Yes, with a change. Teachfloor also has a Course Completed trigger in FlowMattic. Swap it in for Element Completed and adjust the email.

Do I need a Google Workspace account, or does a regular Gmail account work?

The step sends through whichever Gmail account you connect. Any sending limits are set by Google for that account.
