Send a follow-up email via Gmail when a Foxit eSign document is viewed

When a party opens your Foxit eSign document for the first time, FlowMattic sends a follow-up email from your Gmail account, so you can offer help while the document is fresh in their mind.

The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Opening a document and signing it are two different moments, and the gap between them is where agreements stall. A short, personal note right after someone first looks at the document, asking whether they have questions, is easy to forget when you send many documents. This workflow sends that note for you.

The Foxit eSign trigger, Document Viewed, is described by FlowMattic as firing whenever any party opens your document for the first time. Reopening the same document later doesn't count as a first view. FlowMattic receives the document's details and information about the viewer; one test view shows which fields you can use.

The Gmail step writes to the viewer from the Google account you connect. The template leaves it unmapped, so after import you set the recipient, usually the viewer's email from the Foxit data, and write the subject and body, mapping in the document name and the person's name.

The email goes out on the first view whether or not the person signs straight afterwards, so word it as a friendly check-in rather than a reminder to sign. If a document has several parties, each one's first view can start a run. Open a test document from a second address and check Task History for what Foxit sent and what Gmail returned.

Freelancer checking in on a contract

A freelance designer sends a project contract and the client gets a Gmail note offering a quick call about any clause, sent once they first open it.

Lease questions answered early

A property manager's tenants receive an email with contact details for questions when they first view their Foxit eSign lease.

Onboarding paperwork for new hires

An HR team sends a short note to each new hire who opens their onboarding documents, explaining who to ask about benefits forms.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Foxit eSign Document Viewed

Fires when any party opens your Foxit eSign document for the first time. The document details and viewer information are passed to the Gmail step.

  2. Step 2Action
    Gmail Send Email

Emails the viewer from the Gmail account you connect. After import, map the recipient from the viewer's details, write the subject and message, and include the document name so they know what it's about.

What you need

  • FlowMatticCore
  • Foxit eSign AccountAccount
  • Gmail AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Keep the message short and personal, and mention the document by name so the email reads like a note from you rather than an automated notice.
  • If you send documents that don't need a check-in, put a Filter between the Document Viewed trigger and the Gmail step that checks the document name.
  • To nudge only later, add a Delay between the Document Viewed trigger and the Gmail step, for example a day, so the note doesn't arrive while they're still reading.

Questions about this workflow

Does the person get a Gmail email every time they open the Foxit document?

No. The trigger fires on a party's first view of the document. Later openings by the same person don't start another run.

Will the follow-up still send if they sign right after viewing?

Yes, as imported. The workflow runs on the first view and doesn't check whether the document was signed. Word the email so it reads fine either way.

Who receives the follow-up email from Gmail?

Nobody until you set it: the template leaves the recipient empty. Map the viewer's email from the Foxit eSign data, which a test view shows you.
