What this workflow does
Thanking donors matters to most fundraisers, but writing to each one by hand takes time, and some get missed on busy days. This workflow sends a thank-you from your own Gmail account for every donation Grassrootz records, so each donor hears from you in your words.
The Grassrootz trigger fires on Donation Created and passes the donation's details to FlowMattic. The second step, Gmail Send Email, sends a message you write. Map the donor's address as the recipient and pull values such as their name or the campaign into the subject and body.
Every donation sends one email, as the template has no Filter. Make a small test donation after import, or use a test record if you have one, to see which donor details arrive. If a donation comes without an email address, the Gmail step has no one to send to, and Task History shows the error on that step.
Personal thanks from a small charity
A small charity's director sends every Grassrootz donor a short personal note from their own Gmail address.
School fundraising campaigns
A school sends each donor a thank-you that names the campaign their gift supported.
Event sponsorships
Donors who sponsor a participant in a fun run get a thank-you from the event organiser's inbox.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.

What you need
- FlowMatticCore
- Grassrootz AccountAccount
- Gmail AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add a Filter after the trigger that continues only when the donor's email isn't empty, so anonymous or incomplete donations don't cause failed sends.
- Use a Router with conditions on the campaign, set so they can't both match, to send a different message for each campaign you run.
- Send the first few emails to yourself while testing, then switch the recipient to the donor's address.
Questions about this workflow
Does this change the emails Grassrootz sends to donors?
No. It sends a separate email from your Gmail account and changes nothing in your Grassrootz settings.
What if a Grassrootz donor has no email address?
The Gmail step needs a recipient, so the send fails for that donation and Task History shows the error. Add a Filter to skip donations without an email.
Can I include the donation amount in the email?
If Grassrootz sends the amount with the donation, you can map it into the body. A test donation shows which values are available.
Which Gmail address do donors see?
The one you connect in the Gmail step. Replies from donors arrive in that inbox.
