What this workflow does
Formlets forms can sit on any site, which makes them handy for sign-ups and enquiries. But respondents only become part of your email marketing once they are in Mailchimp. This workflow moves each one across as soon as they submit.
The Formlets trigger, New Submission, fires for each new form submission. FlowMattic passes the answers to Mailchimp, where Add New Member adds the person to the audience list you choose. You map the email answer to the member's email and add any name or other answers you want on their profile.
The Mailchimp action adds a new member or updates an existing one, so a respondent who submits twice stays one member. There is no Filter, which means everyone who submits is sent to Mailchimp. If your form asks for marketing consent, add a Filter so only people who said yes are added.
Newsletter sign-up on a static site
Your site is built without WordPress forms, so you embed a Formlets sign-up form. Each subscriber goes straight into your Mailchimp audience.
Event registrations
People register for a meetup through Formlets. They join a Mailchimp list you use for event reminders and the follow-up email.
Lead form for a service business
Enquiries from a Formlets contact form land in Mailchimp, so you can send them your service guide alongside your personal reply.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Formlets New SubmissionFires for each new submission to your Formlets form. The respondent's answers, including their email, are passed to Mailchimp for mapping.
Mailchimp Add New MemberAdds the respondent to your Mailchimp list, or updates them if they already exist there. Map the Formlets email answer to the member email, along with any name answers.
What you need
- FlowMatticCore
- Formlets AccountAccount
- Mailchimp AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add a Filter after the Formlets trigger that continues only when the consent checkbox is ticked, so only people who opted in reach Mailchimp.
- Map a Formlets answer, such as where they heard about you, into a Mailchimp field if your audience has one, so you can segment by it later.
- Send one test submission after import so FlowMattic captures the Formlets answers before you map the Mailchimp step.
Questions about this workflow
What happens if a Formlets respondent is already in my Mailchimp audience?
Add New Member adds new people and updates existing members, so that person is updated with the newly mapped answers instead of being added twice.
Do I need the email question to be required in Formlets?
It helps. Mailchimp needs an address to add a member, so a submission without one gives an error on that step, which you can see in Task History.
Will earlier Formlets submissions be sent to Mailchimp?
No. The trigger fires for new submissions, so only entries made after you turn the workflow on are added.
Can respondents go to different Mailchimp lists depending on their answers?
Use a Router after the trigger with one route per answer, each with its own Add New Member step pointed at the right list.
