Turn each new Zoom meeting summary into action items with OpenAI and post to Slack

When Zoom has a summary ready for a meeting you hosted, FlowMattic fetches it, asks OpenAI to turn it into a short list of action items with owners, and posts that list to a Slack channel.

The Turn each new Zoom meeting summary into action items with OpenAI and post to Slack workflow on the FlowMattic canvas, with 4 steps across Zoom, OpenAI (ChatGPT), Slack
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

A meeting summary tells you what was discussed, but people mostly want to know who does what next. Copying tasks out of a summary by hand is the step that gets skipped after a busy day of calls. This workflow pulls the action items out for you and puts them where your team will see them.

The Zoom trigger starts a run once Zoom reports a finished summary for one of the meetings you hosted. The next Zoom step, Get Meeting Summary, fetches the AI Companion summary for that meeting. It ships unmapped, so after import you map the meeting identifier from the trigger into it, then check a test run to see the summary it returns.

The OpenAI (ChatGPT) step already has a prompt: it asks for a short list of action items, with owners where the summary mentions them, and feeds in the summary overview from the previous step. You can reword it, for example to add deadlines or a fixed format.

The last step posts OpenAI's reply as a Slack channel message. The text is mapped; you choose the channel after import. Each summarised meeting produces one post, so meetings without a Zoom summary never start a run.

Follow-ups after a weekly team call

A team lead's Monday Zoom call ends, and once the summary is ready the action items with names appear in the team's Slack channel.

Client call next steps for account managers

An agency posts the action items from each client Zoom meeting into the client's internal Slack channel, so designers and writers know what was agreed.

Project stand-ups with a written record

A project manager keeps a Slack channel where every stand-up's action list lands, giving the team a searchable history of who took on what.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Zoom New Meeting Summary

Fires when Zoom has a meeting summary ready for a meeting you hosted. The meeting's details are passed on so the next step can fetch the summary.

  2. Step 2Action
    Zoom Get Meeting Summary

Fetches the Zoom AI Companion summary for the meeting. The step ships unmapped: map the meeting identifier from the trigger, and check a test run for the summary fields.

  3. Step 3Action
    OpenAI (ChatGPT) Generate Content

Sends the summary overview to OpenAI with a prompt asking for a short list of action items, naming owners where the summary mentions them. Edit the prompt to suit your team.

  4. Step 4Action
    Slack Send Channel Message

Posts OpenAI's action item list as a message in a Slack channel. The message text is mapped from the OpenAI step; the channel is yours to pick once Slack is connected.

What you need

  • FlowMatticCore
  • Zoom AccountAccount
  • OpenAI (ChatGPT) AccountAccount
  • Slack AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a line to the OpenAI prompt asking for one action per line with the owner's name first, so the Slack post is easy to scan.
  • Put a Filter between the Zoom trigger and the Get Meeting Summary step that continues only when the meeting topic contains a word you choose, such as Client, if only some meetings belong in this channel.
  • If the Zoom trigger sends the meeting topic, map it into the start of the Slack message, so readers know which meeting the action items came from.

Questions about this workflow

Do I need Zoom's AI Companion meeting summaries turned on?

Yes. The trigger fires when Zoom has a summary for a meeting you hosted, and the Get Meeting Summary step fetches the AI Companion summary. Without one, no run starts.

Does OpenAI read the full Zoom transcript?

No. The prompt passes in the summary overview from the Get Meeting Summary step, not a transcript. The action items can only be as detailed as that summary.

Which Slack channel gets the Zoom action items?

The channel you set in the Send Channel Message step. The message text is already mapped from OpenAI, but the channel is left for you to choose after import.

Will meetings hosted by colleagues post action items too?

Not as imported. FlowMattic describes the trigger as firing for meetings you hosted, so meetings run by other people on their own Zoom accounts don't start it.
