What this workflow does
Jotform is quick for building contact, quote and sign-up forms, but the answers stay in Jotform's inbox unless someone moves them. This workflow sends each submitter to HubSpot as a contact, where your sales or support team already tracks people.
The Jotform New Form Submission trigger starts a run each time the form you connect receives an entry. The answers from that entry are passed on to HubSpot for mapping.
The HubSpot CRM Create Contact step adds the person. The step has no mapping in the template. After import, connect HubSpot and map the form's email question into the contact's email, then add the name, phone, company or any other answers you want to keep as contact properties.
Every submission creates a run, including test entries and repeat visitors. HubSpot may refuse a second contact with an email it already holds. Send a test entry and look at Task History to see the answers Jotform passed and HubSpot's reply.
Quote requests for a trade business
A landscaping company's Jotform quote form adds each enquirer to HubSpot, so the estimator can call them back and log the visit on the contact.
Event interest lists
A venue collects interest in an upcoming event on a Jotform form and builds a HubSpot contact list from those submissions for the launch email.
Partner applications
A software company reviews reseller applications sent through Jotform as HubSpot contacts, with the application answers saved as properties.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Jotform New Form SubmissionFires when the Jotform form you connect receives a new submission. All of the form's answers are passed to the HubSpot step for mapping.
HubSpot CRM Create ContactSends each person who fills in the form to HubSpot CRM as a contact. No fields are mapped in the template: connect HubSpot and map the form's email answer, plus any name, phone or other answers you need.
What you need
- FlowMatticCore
- Jotform AccountAccount
- HubSpot CRM AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Make the email question required in Jotform, because HubSpot contacts are easiest to find and deduplicate by email.
- Create a HubSpot contact property for answers that don't fit a default field, such as budget or project type, then map that Jotform answer into it.
- If the form has a marketing consent checkbox, put a Filter between the Jotform trigger and the Create Contact step that continues only when it is ticked. The question to check is yours to set.
Questions about this workflow
What if someone submits the Jotform form twice with the same email?
Each submission runs the Create Contact step. HubSpot may refuse to create a second contact with an existing email, and Task History shows its response for that run.
Do I need to map every Jotform question?
No. Map the email and the answers you want in HubSpot. Unmapped answers stay in Jotform and aren't sent to HubSpot.
Does the HubSpot contact get a lead source from Jotform?
Not unless you add one. Map a fixed value such as Jotform into a HubSpot property you use for the source, so you can filter these contacts later.
Will older Jotform submissions be added to HubSpot?
No. Only submissions received after the workflow is turned on start a run. Export older entries from Jotform and import them into HubSpot separately.
