When a booking is created in TuCalendi, create a new member in Mailchimp list

When someone books an appointment through TuCalendi, this workflow adds them as a member of your Mailchimp audience, so the people who book with you can receive your emails.

TuCalendi Mailchimp

2 steps Setup ~5 min Used on 1.3k sites Free to import

The When a booking is created in TuCalendi, create a new member in Mailchimp list workflow on the FlowMattic canvas, with 2 steps across TuCalendi, Mailchimp
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

People who book a call or appointment are often the contacts you most want on your mailing list. Copying them from your booking tool into Mailchimp by hand is slow, and some get missed. This workflow adds each booker to Mailchimp when the booking is made.

The TuCalendi trigger fires when a new booking is created in your TuCalendi account. The booking data, including the details the person entered, is passed on. The Mailchimp step then uses Add New Member to add that person to the audience you choose, with the email and name fields you map from the booking.

Every new booking starts a run, so someone who books twice reaches the Mailchimp step twice. On the second run, Add New Member updates the returning booker's member record with the mapped email and name instead of duplicating them. Task History records each run and any error Mailchimp returns.

Consultants who send a monthly newsletter

Each prospect who books a discovery call through TuCalendi is added to your Mailchimp audience, so they receive your next newsletter.

Salon or clinic client mailing list

Clients who book through TuCalendi join a Mailchimp audience you use for service updates and seasonal offers.

Course demo sessions

Attendees who book a demo slot are added to Mailchimp, where you can send them follow-up material about the course.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    TuCalendi New Booking Created

Runs when a new booking is created in your TuCalendi account. The booking details are passed to the Mailchimp step for mapping. Connect your TuCalendi account on import.

  2. Step 2Action
    Mailchimp Add New Member

Adds the person who booked as a member of your Mailchimp audience. Map the booking's email field, and name fields if you collect them. Connect your Mailchimp account and run a test booking to check the result.

What you need

  • FlowMatticCore
  • TuCalendi AccountAccount
  • Mailchimp AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a Filter after the trigger if only some appointment types should add people to Mailchimp, for example continuing when the booking matches a chosen service.
  • Book a test slot in TuCalendi once the workflow is imported. FlowMattic captures the booking fields, which you can then map into the Mailchimp step.
  • Use a Router to send bookings for different services to different Mailchimp audiences, each route with its own Add New Member step.

Questions about this workflow

Which Mailchimp audience are TuCalendi bookers added to?

The one you pick in the Mailchimp step after import. Every booking that starts a run goes to that audience.

What happens if the person booking is already in my Mailchimp audience?

The workflow still runs, and Add New Member updates their existing member with the email and name you map from the TuCalendi booking. No duplicate is created.

Are past TuCalendi bookings added to Mailchimp?

No. Only bookings created after the workflow is turned on start a run.

Do people get added for every appointment type?

Yes, as imported. Add a Filter after the trigger if you want only certain bookings to reach Mailchimp.

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.
