When a Join.me meeting ends, log the duration in Google Sheets and notify the channel in Discord

When a Join.me meeting ends, this workflow adds a row about it to Google Sheets, including its duration or times if the event carries them, then posts a note to a Discord channel so your team knows it finished.

The When a Join.me meeting ends, log the duration in Google Sheets and notify the channel in Discord workflow on the FlowMattic canvas, with 3 steps across Join.me, Google Sheets, Discord
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Teams that bill for calls, or simply want to know how much time goes into meetings, need a record of each one. Writing it down after every call is a chore. This workflow keeps that record in a spreadsheet and tells your Discord channel when each meeting is over.

The Join.me trigger, Meeting Ended, fires when a meeting ends and passes the meeting details to FlowMattic. The Google Sheets step then adds a new row, where you map fields such as the meeting name and the duration. Last, a Discord step posts a message to the channel you pick, with whatever meeting details you place in it.

The duration column needs a value from Join.me. Run a test meeting and check the data FlowMattic received: if it holds a duration, map it; if it holds start and end times instead, log both and let a sheet formula work out the length. Every ended meeting adds one row and one Discord post.

Tracking billable client calls

A freelancer runs client calls on Join.me. The sheet builds a list of meetings and their lengths, which they total each month before invoicing.

Letting a remote team know a call is over

When the weekly stand-up on Join.me ends, a Discord message tells the team the room is free and the notes are coming.

Reviewing time spent in meetings

A manager sorts the sheet by duration to see which recurring meetings run long and could be cut down.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Join.me Meeting Ended

Fires when a Join.me meeting ends. The meeting details are passed on to the Google Sheets and Discord steps for mapping.

  2. Step 2Action
    Google Sheets Add New Row

Writes the ended meeting into a new row of your chosen sheet. Map the meeting name and the duration or start and end times, whichever a test run shows the Join.me event provides.

  3. Step 3Action
    Discord Send Channel Message

Sends a short notice to a Discord channel of your choice. Write the text and place meeting details in it, such as the meeting name, then connect your Discord account.

What you need

  • FlowMatticCore
  • Join.me AccountAccount
  • Google Sheets AccountAccount
  • Discord AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • If Join.me sends start and end times but no duration, add a sheet column with a formula that subtracts one from the other, so each row shows the length.
  • If only certain meetings, such as client calls, should be logged and announced, add a Filter on the meeting name between the Join.me trigger and the Google Sheets step.
  • Keep personal details out of the Discord message if the channel is large. The meeting name is often enough there, while the sheet holds the rest.

Questions about this workflow

Does Join.me send the meeting duration?

Check a test run to find out. FlowMattic passes on whatever the Meeting Ended event includes. If there is no duration field, log the start and end times and calculate the length in the sheet.

Does a recurring Join.me meeting get one row or many?

One per time it ends. Each Meeting Ended event adds its own row and its own Discord post, and nothing merges them, so a weekly call builds up a row for every week.

Are meetings that ended before setup logged?

No. Only meetings that end after you switch the workflow on reach the sheet and Discord. Add older meetings to the sheet by hand if you need them.

Can I post the Join.me summary to Slack instead of Discord?

Yes. Replace the Discord step with Slack's Send Channel Message action and map the same meeting fields into the message.
