When a new email is parsed (per email) in Mailparser, create a new lead in Instantly

Each email Mailparser parses sends its extracted data to Instantly, where the person named in it is added as a lead to the campaign you choose, ready for your outreach sequence.

Mailparser Instantly

2 steps Setup ~5 min Used on 2.3k sites Free to import

The When a new email is parsed (per email) in Mailparser, create a new lead in Instantly workflow on the FlowMattic canvas, with 2 steps across Mailparser, Instantly
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Some leads arrive as emails: notifications from a directory listing, a partner sending referrals, or a form tool that only emails its results. The details sit in the message text, and someone has to copy them into Instantly. This workflow takes the fields Mailparser pulls out of each email and adds the lead to an Instantly campaign.

The Mailparser trigger, New Email Parsed (Per Email), fires when Mailparser parses a new email in your inbox, and sends one request for that email. Your parsing rules decide which fields come out, such as name, email and company. FlowMattic passes them to Instantly, where Add a lead to a campaign puts the person into the campaign you pick.

The lead's email address must be among the fields your Mailparser rules extract, or Instantly has nothing to add. Every parsed email runs once, so an email that isn't a lead notification still reaches Instantly unless your parsing setup or a Filter keeps it out.

Referral emails from partners

Partners email you introductions in a set format. Mailparser pulls the contact's name and email, and Instantly adds them to a warm-intro campaign.

Lead alerts from a listing site

A directory sends an email for each enquiry. Its parsed fields go into an Instantly campaign so your follow-up sequence reaches the enquirer.

Event lists sent by email

An organiser emails you each new sign-up for a co-hosted event. The sign-up's details become an Instantly lead for post-event outreach.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
Mailparser New Email Parsed (Per Email)

Fires when Mailparser parses a new email in your inbox, sending one request per email. The fields your parsing rules extract are passed on for mapping.

  2. Step 2Action
Instantly Add a lead to a campaign

Adds a lead to the Instantly campaign you choose. Map the parsed email address and any name or company fields, then check a test run in Task History.

What you need

  • FlowMatticCore
  • Mailparser AccountAccount
  • Instantly AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Set up Mailparser's parsing rules and parse one sample email before you map the Instantly step, so FlowMattic has real fields to work with.
  • Add a Filter after the trigger that continues only when the parsed email field is not empty. Messages that held no address then never reach Instantly.
  • If one inbox receives several kinds of email, add a Filter on the sender or subject so only the lead notifications go to your Instantly campaign.

Questions about this workflow

Should I pick Per Email or Per Row in Mailparser?

This template uses Per Email, which sends one request for each parsed email. If one email holds a table of several leads, Mailparser's Per Row trigger sends a request per row instead.

What if the lead is already in Instantly?

Instantly decides how to handle an address it already holds. Test with a lead you know is in the campaign and check the response in Task History.

Does this send emails to the lead right away?

The workflow only adds the lead to a campaign. Whether and when they are emailed depends on that Instantly campaign's own settings and schedule.

Are emails parsed before setup added as leads?

No. Only emails Mailparser parses after the workflow is switched on reach Instantly. Older parsed data stays in Mailparser.
