When a new form submission is received in Jotforms, upload the file to Google Drive

Each new Jotform submission sends its attached file to Google Drive, where this workflow uploads it to the folder you select so form uploads sit with your other working files.

The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Jotform forms often collect files: a receipt, an ID scan, a design brief. Leaving those in Jotform means downloading them one by one whenever someone needs them. This workflow moves each submitted file into a Google Drive folder as soon as the form is sent.

The Jotform trigger fires on each new form submission and hands the answers, including the file from your upload field, to FlowMattic. The Google Drive Upload a File step then uploads the file to the folder you select. After import, you map the file from the Jotform submission into the upload step.

The workflow runs for every submission, whether or not a file was attached. If none was, the Drive step has nothing to upload and Task History records the result. Test with a real file first, because how the file reaches FlowMattic can depend on your Jotform settings, and a test run shows whether it uploads.

Expense receipts from staff

Employees submit a Jotform expense form with a receipt photo, and finance finds every receipt in one Google Drive folder.

Student assignment uploads

A tutor collects homework through Jotform, and each uploaded file goes into a Drive folder for marking.

Design briefs from clients

Clients attach logos or briefs to a Jotform request form, and the files are stored in the agency's shared Drive folder.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Jotform New Form Submission

Runs whenever someone submits your Jotform form. The answers and the file from the upload field are passed to FlowMattic for the next step.

  2. Step 2Action
    Google Drive Upload a File

Stores the submitted file in the Drive folder chosen in this step. Map the file from the Jotform submission into this step and connect your Google account.

What you need

  • FlowMatticCore
  • Jotform AccountAccount
  • Google Drive AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Put a Filter after the trigger that stops the run when the upload field is empty, so the Drive step only runs when there is a file.
  • For forms with more than one upload field, add a second Google Drive step and map the other file into it.
  • Add a Google Sheets step after the upload to log the submitter's name next to the result returned by the Drive step.

Questions about this workflow

Does the Jotform form need an upload field?

Yes. The Google Drive step uploads the file that arrives with the submission, so the form needs a file upload field for there to be anything to store.

Which Google Drive folder do Jotform files go to?

The one you select in the Upload a File step. All files from this workflow go to that folder unless you add more Drive steps.

What if a Jotform submission has no file?

The run still reaches the Drive step, which has no file to upload. The Drive step's reply for that submission appears in Task History. Add a Filter to stop those runs earlier.

Does this remove the file from Jotform?

No. The workflow copies the file to Google Drive. Jotform keeps the submission and its file as before.
