When a new order is created in StoreHippo, add the order details to Google Sheets

Every new order created in your StoreHippo store adds a row to Google Sheets with the order details you map, giving you a running order log to sort, total and share without exporting from the store admin.

StoreHippo Google Sheets

2 steps Setup ~5 min Used on 2.8k sites Free to import

The When a new order is created in StoreHippo, add the order details to Google Sheets workflow on the FlowMattic canvas, with 2 steps across StoreHippo, Google Sheets
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

A spreadsheet of orders is handy for things the store admin doesn't do well: a quick daily total, a sheet the warehouse can read, or a record your accountant can open. Building it by exporting orders every few days is tedious and always a little behind. This workflow writes each order to the sheet as it is created.

The StoreHippo trigger, Order Created, fires when a new order is created in your store. The order's details become data you can map. The Google Sheets step, Add New Row, then adds one row to the spreadsheet you choose, with each detail in the column you assign, such as the order number, customer and total.

The trigger fires once per new order. Later changes to that order, such as a status update or a cancellation, do not add or change the row. Task History records each run, so you can check that an order reached the sheet.

Daily sales total for the owner

A SUM column on the order sheet gives a store owner a running sales figure they can check from their phone without logging into StoreHippo.

Packing list for a warehouse

Staff who pack orders read a shared Google Sheet of new StoreHippo orders and mark each row as packed in a column of their own.

Bookkeeping hand-off

Your accountant gets view access to the order sheet and pulls monthly figures from it, with no access to the store admin.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    StoreHippo Order Created

Fires when a new order is created in your StoreHippo store. The order's details are passed on so you can place them in spreadsheet columns.

  2. Step 2Action
    Google Sheets Add New Row

Appends a row for the order to the Google Sheets spreadsheet you select. Set up your column headers first, map each order detail to a column, and connect your Google account.

What you need

  • FlowMatticCore
  • StoreHippo AccountAccount
  • Google Sheets AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a status column you fill in by hand, such as Packed or Shipped, to the right of the mapped columns. The workflow only writes the columns you map, so your notes stay put.
  • Place an order on your store after import, then check Task History for the fields StoreHippo sends, and how it lists the items, before you decide which columns to map.
  • If you also want to track cancellations, build a second workflow on StoreHippo's Order Cancelled trigger that adds a row to a separate tab.

Questions about this workflow

Does the Google Sheets row change when the StoreHippo order is updated?

No. The trigger is Order Created, so each order is written once when it is created. Status changes or edits later on do not touch the row.

Can each product in the order get its own row?

Not as imported. One order makes one row. To write a row per item you would add an Iterator over the order's line items before the Google Sheets step.

Are my existing StoreHippo orders added to the sheet?

No. Only orders created after you turn the workflow on are added. Export older orders from StoreHippo once if you need them in the same sheet.

Which StoreHippo order fields can I put in Google Sheets?

Any field the trigger provides. Run a test order and look at the trigger's data in Task History to see the full list before you map columns.

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.
