When a quote is accepted, add the customer to HubSpot CRM

When a customer accepts a quote in Quotient, this workflow creates a contact for them in HubSpot CRM, so the people who said yes are in your CRM without anyone typing them in.

The When a quote is accepted, add the customer to HubSpot CRM workflow on the FlowMattic canvas, with 2 steps across Quotient, HubSpot CRM
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

An accepted quote is the point where a prospect becomes a customer. If your quotes live in Quotient and your customer records live in HubSpot, someone has to copy the details across before sales, onboarding or billing can use them. This workflow does that copy when the quote is accepted.

The Quotient trigger fires when a customer accepts a quote. FlowMattic receives the quote data, including the customer details Quotient sends, and makes it available for mapping. The second step uses the Create Contact action in HubSpot CRM. You map the customer's email address and any other details you want, such as their name or company, into the new contact.

Every accepted quote runs the workflow once. Quotes that are only sent, viewed or declined do not. Accept a test quote after import to see which values Quotient provides, and use Task History to check what reached HubSpot on each run.

Trade business winning a job

A builder sends quotes from Quotient. When a homeowner accepts one, they appear in HubSpot, ready for the project team to schedule the work.

Agency starting client onboarding

An accepted proposal for a website project creates the HubSpot contact your account manager uses for the kickoff emails.

Keeping the CRM to real customers

Only people who accepted a quote are added, so your HubSpot contact list reflects buyers rather than everyone who asked for a price.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Quotient Quote Accepted

Runs when a customer accepts a quote in Quotient. The quote and customer details Quotient sends are passed on for mapping into HubSpot.

  2. Step 2Action
    HubSpot CRM Create Contact

Creates a contact in HubSpot CRM from the accepted quote. Map the customer's email address and the other details you want on the contact, then connect your HubSpot account.

What you need

  • FlowMatticCore
  • Quotient AccountAccount
  • HubSpot CRM AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Accept a test quote in Quotient after import, so FlowMattic captures the customer details you can map into HubSpot.
  • If you also track deals in HubSpot, add a step after Create Contact that creates a deal with the quote's title and total.
  • Add a Filter after the trigger if only some accepted quotes should reach HubSpot, for example ones above a set total.

Questions about this workflow

What if the Quotient customer is already a HubSpot contact?

The step creates a contact. HubSpot normally refuses a second contact with an email it already holds, and Task History shows that response. Test with an existing customer to see the result on your account.

Are declined or expired Quotient quotes added to HubSpot?

No. Only the Quote Accepted event starts the workflow, so other quote outcomes never reach your CRM.

Can I add the quote amount to the HubSpot contact?

If Quotient sends the total with the accepted quote, you can map it to a HubSpot contact property you have set up. A test run shows which values are available.

Does this change the quote in Quotient?

No. The workflow reads the accepted quote and creates the HubSpot contact. Nothing is written back to Quotient.

It's very straightforward, has a lot integrations and they work well. It is one thing to 'integrate' new external software, but integrating it well, with lots of options is where FlowMattic shines.
