When a Recurly subscription is created, add a Google Sheets row, alert the team in Slack, then mark the row processed

When a subscription is created in Recurly, this workflow adds a Google Sheets row for it, posts a Slack message to your team, then updates that row so it shows the alert went out.

The When a Recurly subscription is created, add a Google Sheets row, alert the team in Slack, then mark the row processed workflow on the FlowMattic canvas, with 4 steps across Recurly, Google Sheets, Slack
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

New subscriptions matter to more than the billing team. Finance wants a running record, and the rest of the company likes to hear when someone signs up. This workflow handles both and leaves a clear mark in the sheet once the team has been told.

The Recurly trigger fires when a subscription is created. The first Google Sheets step adds a row with the subscription fields you map, such as account, plan and amount. Next, the Slack step posts a message to a channel you choose. Last, a second Google Sheets step updates an existing row, which you use to fill in a column such as Status with Processed.

The update step has to know which row to change. Point it at the row the first Sheets step just added, using the row information that step returns, and confirm it with a test subscription. Task History shows what each of the four steps returned for every subscription.

Sign-up log for a SaaS finance team

Each new Recurly subscription becomes a sheet row the finance team uses for monthly reporting, with a Processed column showing it was announced.

Celebrating new subscribers in Slack

A #wins channel gets a message for every new subscription, naming the plan, while the sheet keeps the record.

Handing new accounts to onboarding

The onboarding team reads the Slack message to start a welcome call, and the sheet shows which subscriptions have been posted.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Recurly Subscription Created

Starts the run each time Recurly reports a newly created subscription. The subscription and account data in the event are passed on to the sheet and the Slack message.

  2. Step 2Action
    Google Sheets Add New Row

Writes one row per new subscription to the spreadsheet you pick. Map Recurly fields such as account, plan and amount to columns, and leave a column free for the processed mark.

  3. Step 3Action
    Slack Send Channel Message

Posts a message to the Slack channel you pick about the new subscription. Write the text and insert Recurly fields such as the plan name.

  4. Step 4Action
    Google Sheets Update Row

Updates an existing row in the same spreadsheet with the values you map. Target the row added in step 2, using the row details that step returns, and set your status column to a value such as Processed.

What you need

  • FlowMatticCore
  • Recurly AccountAccount
  • Google Sheets AccountAccount
  • Slack AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Run a test subscription after import and open Task History to see what the Add New Row step returns. Use that row information to point the Update Row step at the right row.
  • Write a timestamp into the row in the Update Row step as well as the status, so you can see when each subscription was announced.
  • If only certain Recurly plans should be logged and announced, add a Filter on the plan field between the Recurly trigger and the first Google Sheets step. Other plans then get no row and no Slack post.

Questions about this workflow

How does the Update Row step know which Google Sheets row to change?

You map it after import. Use the row details returned by the Add New Row step, and confirm with a test that the right row gets marked.

Can the Recurly alert go to a private Slack channel?

This template uses Slack Send Channel Message. To post to a private channel instead, change it to Slack's Send Private Channel Message action and run a test subscription.

Does every new Recurly subscription go through all four steps?

Yes, as imported. There is no Filter, so each subscription created in Recurly adds a row, posts to Slack and updates the row.

Do renewals or plan changes in Recurly trigger the workflow?

The trigger is Subscription Created, which fires when a subscription is created. Use a separate workflow with another Recurly trigger for other events.
