When a Weezly invitee is created, add them to ActiveCampaign and notify the team in Slack

What this workflow does
A new booking matters to two groups at once. Marketing wants the person in ActiveCampaign so follow-up emails reach them, and the team running the meetings wants to know someone is coming. This workflow handles both from one Weezly booking.
The Weezly trigger, Invitee Created, starts a run each time an invitee schedules an event. The ActiveCampaign step runs Create or Update Contact: a new invitee becomes a contact, and someone already in your account is updated rather than duplicated. Last, the Slack step runs Send Channel Message and posts to the channel you pick, with whatever booking details you put in the message.
The steps run in that order for every booking. Task History records what the ActiveCampaign step returned for each booking, so look there when a booker is missing from your list.
Sales calls booked from a pricing page
Each prospect who books lands in ActiveCampaign for nurture emails, and the sales channel in Slack sees who booked so the rep can prepare.
Coaching or consulting sessions
New and returning clients are kept current in ActiveCampaign, while a Slack post tells the coach a session has been booked.
Webinar or workshop sign-ups through Weezly
Attendees are added to ActiveCampaign for reminder emails, and the event team follows sign-ups as they appear in a Slack channel.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Weezly Invitee CreatedStarts a run for each new Weezly invitee, meaning each time someone schedules one of your events. Their booking data is passed to ActiveCampaign and Slack.
ActiveCampaign Create or Update ContactCreates a new ActiveCampaign contact for the invitee, or updates the contact if they are already in your account. Map the invitee's details from Weezly into the contact.
Slack Send Channel MessageSends a booking notice into a Slack channel of your choice. Write the text and map in details from the Weezly booking so the team can see who booked.
What you need
- FlowMatticCore
- Weezly AccountAccount
- ActiveCampaign AccountAccount
- Slack AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add ActiveCampaign's Add/Remove Tag From Contact after the contact step to tag each booker, for example with the event they booked.
- Use ActiveCampaign's Add Existing Contact to Automation to start a follow-up sequence for every new booker.
- Build a second workflow on Weezly's Invitee Canceled trigger to post cancellations to the same Slack channel.
- If the channel should only hear about certain events, put a Filter between the ActiveCampaign step and the Slack step, based on a value you see in a test booking. Every booker still reaches ActiveCampaign.
Questions about this workflow
What if the Weezly invitee is already in ActiveCampaign?
The step uses Create or Update Contact, so the existing contact is updated with the mapped details instead of a duplicate being created.
What do I need to map after importing the Weezly workflow?
Neither the ActiveCampaign step nor the Slack step comes mapped. Map invitee details such as the email address and name into Create or Update Contact, then write the Slack message and add the booking details you want. A test booking shows what Weezly sends.
Which Slack channel does the booking alert go to?
You select the channel inside the Slack step when you set the workflow up. You also write the message text there and choose which booking details to include.
Do cancelled Weezly bookings remove the ActiveCampaign contact?
No. The workflow only runs on Invitee Created. Cancellations do not start a run, and the contact stays in ActiveCampaign.
