When new form submission is received in ARForms, add a new contact in FluentCRM
Each ARForms submission on your WordPress site becomes a FluentCRM contact, or updates the matching contact by email, so form leads are ready for your email campaigns without copying them over.

What this workflow does
ARForms collects the details, but your follow-up emails go out from FluentCRM. Without a link between the two, someone has to export entries and import them as contacts, and new leads sit waiting until they do. This workflow hands every ARForms entry to FluentCRM the moment the form is sent.
The ARForms trigger fires on each new form submission and makes every field available to map. The FluentCRM step, Create or Update Contact, then looks for a contact with the submitted email address. If none exists, it creates one. If one does, it updates that contact with the values you mapped.
ARForms and FluentCRM both live on your WordPress install, so these contacts never leave your site. Every form that sends submissions to this trigger is handled the same way, so add a Filter if only one form should feed your CRM. Open Task History to see what each ARForms run sent and how the FluentCRM step answered.
Free consultation requests
A visitor books a consultation through an ARForms form and appears in FluentCRM, ready for your welcome or reminder emails.
Gated download sign-ups
People who fill in an ARForms form to get a checklist or guide join your FluentCRM contacts, so you can email them about related content later.
Returning visitors updating their details
Someone who submits a second form with a new phone number or company has that value written to their existing FluentCRM contact, matched by email.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
ARForms New Form SubmissionRuns on each new ARForms submission on your site. Every field from the submitted form is passed on so you can map it into FluentCRM.
FluentCRM Create or Update ContactCreates a FluentCRM contact from the submission, or updates the existing contact with the same email address. Map the ARForms email field here, plus any name or other fields you collect.
What you need
- FlowMatticCore
- ARForms PluginPlugin
- FluentCRM PluginPlugin
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Make the email field required in your ARForms form. FluentCRM matches contacts by email, so a submission without one gives the step nothing to create or update.
- Run several ARForms forms? Add a Filter after the trigger on a value that tells your forms apart, so only the right one creates contacts. A test submission shows which values you can use.
- Need a welcome series? Add a FluentCRM step after this one that puts the contact into an email sequence, so each new lead starts receiving it.
Questions about this workflow
What if the ARForms visitor is already a FluentCRM contact?
FluentCRM looks up the ARForms email address first. If a contact with that email exists, it is updated with the mapped values instead of being duplicated. Blank fields in a later submission can overwrite earlier values, so map only the fields you want refreshed.
Do ARForms and FluentCRM need to be on the same site as FlowMattic?
Yes. Both are WordPress plugins, and FlowMattic's triggers and actions for them work with the plugins installed on the same WordPress site.
Will ARForms entries from before import reach FluentCRM?
No. Only submissions made after you turn the workflow on start a run, so older entries need a one-time import into FluentCRM.
Can I add the ARForms contact to a FluentCRM list or tag?
Check the options in the FluentCRM step after import. If you want a separate step, add FluentCRM's list or tag action after the contact step, since the contact exists by then.
