When new form submission is received in Beaver Builder, send template message in WhatsApp using WhatsApp Cloud API

Each time someone submits a Beaver Builder contact form on your site, FlowMattic sends them an approved WhatsApp template message through the WhatsApp Cloud API, using the phone number they entered.

The When new form submission is received in Beaver Builder, send template message in WhatsApp using WhatsApp Cloud API workflow on the FlowMattic canvas, with 2 steps across Beaver Builder Forms, WhatsApp Cloud API
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

A contact form on a Beaver Builder page tells you someone is interested, but a reply by email can sit unread. This workflow answers on WhatsApp instead, with a message you have already had approved, so the person hears back on their phone right after they submit.

The Beaver Builder Forms trigger fires when a new contact form submission is received. The values the visitor typed, such as their name, email, phone and message, are passed on. Your form needs a phone field for this flow to have a number to message.

Next, WhatsApp Cloud API delivers one of your pre-approved templates to that number. Template messages are the kind WhatsApp allows you to send to people who haven't written to your business number recently, which suits a first reply to a new enquiry. The step ships unmapped: after import connect your WhatsApp Cloud API account, choose your approved template, map the phone number from the form, and fill any template variables with form values such as the visitor's name.

Every contact form submission starts a run. If you use more than one Beaver Builder contact form, all of them can send the message unless you limit it, as the tips explain. Task History shows what WhatsApp returned for each submission.

Quick reply to quote requests

A renovation company sends a template confirming it received the quote request and asking for photos of the job on WhatsApp.

Booking enquiries for a guesthouse

A small guesthouse uses its Beaver Builder contact page for availability questions and sends a WhatsApp template that confirms the dates were received.

Lead acknowledgement for a coaching business

A coach replies to every contact form on WhatsApp with a template that includes the person's first name and a link to book a call.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
Beaver Builder Forms New Contact Form Submission

Fires when a new Beaver Builder contact form submission is received on your site. The visitor's entries, including any phone field you added, are passed to the WhatsApp step.

  2. Step 2Action
WhatsApp Cloud API Send Template Message

Sends one of your approved WhatsApp templates to the visitor. Nothing is mapped yet, so after import pick the template, map the phone number from the form and set any variables, such as the first name.

What you need

  • FlowMatticCore
  • Beaver Builder Forms PluginPlugin
  • WhatsApp Cloud API AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Make the phone field required on your Beaver Builder form and ask for the country code, because WhatsApp needs the full international number to deliver the template.
  • If only one of your contact forms should send the message, put a Filter between the Beaver Builder trigger and the WhatsApp step that checks a value from that form, and test it with a real submission.
  • Get your template approved in WhatsApp Manager before you import, so you can select it in the step straight away.

Questions about this workflow

Do I need an approved WhatsApp template for this Beaver Builder flow?

Yes. The Send Template Message step can only send templates that WhatsApp has approved for your business account, so create and get one approved before going live.

Why use a template instead of a plain WhatsApp text?

Free-form WhatsApp text only reaches people inside the 24-hour window after they last wrote to your business number. Someone who has just filled in your form usually hasn't, so a template is the message type that can reach them.

What if the visitor leaves the phone field blank?

The step has no number to send to, and WhatsApp may return an error for that run. Make the field required, or add a Filter on it between the trigger and the WhatsApp step.
