What this workflow does
A traveller who has just paid for a trip wants to know the money arrived and what happens next. This workflow sends that confirmation from your own WordPress site when the payment is marked as completed, using the wording and details you choose.
The WP Travel Engine Payment Completed trigger fires when a payment is marked as completed. It passes the payment and booking data to the next step. Run a test payment to see which fields come through, such as the customer's name and email, the trip and the amount.
The Email step sends the message through WordPress mail or the SMTP account you set in it. It ships unmapped: after import you map the traveller's email as the recipient, write the subject and body, and add trip or payment fields where they help, such as the departure date or amount paid.
Each completed payment sends one email. WP Travel Engine has a separate Due Payment Completed event in FlowMattic for remaining balances, so decide whether those also need a message. Task History shows every run and what the email step returned.
Payment receipt for a tour deposit
A trekking company emails each traveller a short note confirming their payment, the trip name and the next steps for packing and travel.
Branded confirmation from your own domain
A small travel agency sends the confirmation through its own SMTP account, so the email comes from the agency's address.
Copy for the operations team
A tour operator adds a second Email step after the first, sending a copy to the office inbox so staff can start arranging the trip.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
WP Travel Engine Payment CompletedFires when WP Travel Engine marks a payment as completed. The booking and payment data, such as the traveller's contact details, trip and amount, can be mapped into the email.
- Email Send Email
Sends an email using WordPress mail or your SMTP settings. Nothing is mapped yet: after import, set the traveller's email as the recipient and write the subject and message with the trip details.
What you need
- FlowMatticCore
- WP Travel Engine PluginPlugin
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Enter your business SMTP account in the Email step if you want confirmations to come from your agency's own mail server rather than WordPress mail.
- Build a second workflow with FlowMattic's WP Travel Engine Due Payment Completed trigger if travellers who pay a remaining balance should get their own message.
- Include the departure date and trip name in the subject line, so travellers can find the email again before they leave.
- Add a Delay between the WP Travel Engine trigger and the Email step if you want your own booking notice to reach the traveller first.
Questions about this workflow
Does WP Travel Engine's own email still go out?
This workflow doesn't change WP Travel Engine's settings, so any emails the plugin already sends carry on. Turn those off in WP Travel Engine if you want this message to replace them.
Who receives the payment confirmation email?
The traveller, once you map them in. The template leaves the Email step empty, so map the traveller's email from the payment data after import.
Will the email go out for a remaining balance payment?
That depends on how WP Travel Engine reports it. FlowMattic also has a separate Due Payment Completed trigger for remaining payments, so test a balance payment and check Task History.
Can I send it through Gmail instead?
Yes. Enter Gmail's SMTP details in the Email step, or replace it with the Gmail app's Send Email action and map the same fields.
