When the first payment of a monthly subscription is made on Ko-fi, create a ClickUp task

Each time a supporter makes the first payment of a monthly Ko-fi subscription, FlowMattic opens a ClickUp task so your team can welcome the new member and set up their perks.

Ko-fi ClickUp

The When the first payment of a monthly subscription is made on Ko-fi, create a ClickUp task workflow on the FlowMattic canvas, with 2 steps across Ko-fi, ClickUp
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

A new monthly supporter usually means some work for you: a personal thank-you, adding them to a Discord role, sending a reward or noting a shout-out for the next stream. When that work lives only in your inbox, it slips. This workflow turns each new Ko-fi subscription into a ClickUp task, so the follow-up sits in the same place as the rest of your to-do list.

The Ko-fi trigger fires when someone pays the first instalment of a monthly subscription. Renewals and single donations are reported by Ko-fi as other events, so they don't add tasks. The payment data, such as the supporter's name, email and message, is available to the next step.

The ClickUp Create Task step adds a task for each new subscriber. It ships unmapped. After import, connect ClickUp, pick where the task goes, and map Ko-fi data into the task name and description, for example "Welcome new member" followed by the supporter's name.

Run a test subscription before you rely on it, and check Task History to see the Ko-fi data that arrived and the task ClickUp returned.

Personal thank-yous for new members

A YouTuber gets a ClickUp task for every new monthly Ko-fi supporter and records a short thank-you video before closing it.

Reward fulfilment checklist

A small game studio sends a sticker pack to each new subscriber, and the ClickUp task holds the supporter's name and email so whoever packs the order has what they need.

Shout-outs on the next stream

A streamer's moderator works through a ClickUp list of new Ko-fi members and reads their names and messages out at the start of the next broadcast.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
Ko-fi First Payment of Monthly Subscription

Starts a run when a supporter makes the first payment of a monthly subscription on Ko-fi. Monthly renewals and one-off donations are separate Ko-fi events and don't trigger it.

  2. Step 2Action
    ClickUp Create Task

Creates a task in ClickUp for the new subscriber. The template leaves it unmapped, so connect your ClickUp account, choose where the task should go, and map the supporter's name and message into the task fields.

What you need

  • FlowMatticCore
  • Ko-fi AccountAccount
  • ClickUp AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Put the supporter's name in the task title and the email and message in the description, so the person doing the follow-up never needs to open Ko-fi.
  • Keep new-member tasks in their own ClickUp list, which lets you see at a glance how many welcomes are still open.
  • If different tiers get different perks, look at FlowMattic's Ko-fi Payment for Membership Tier trigger and map the tier into the task name after a test run shows the field.
  • Assign the task to the person who handles supporter perks while you set up the Create Task step, if ClickUp lets you pick an assignee there.

Questions about this workflow

Will a ClickUp task be created on every monthly Ko-fi renewal?

No. The trigger is the first payment of a monthly subscription, so you get one task when a supporter subscribes. Renewals are a different Ko-fi event and don't run this workflow.

Which Ko-fi details can go into the ClickUp task?

Any field the Ko-fi trigger passes on. Make a test subscription, open the trigger's data in FlowMattic, and map fields such as the supporter's name, email, amount or message into the task.

Can I create the task in a different ClickUp list later?

Yes. Open the Create Task step, change where the task is created, and save the workflow. New subscriptions after that go to the new location.

Do one-time Ko-fi donations create ClickUp tasks too?

Not with this template. Single donations are their own Ko-fi trigger. Import or build a second workflow on the Single Donation trigger if you want tasks for those as well.

It is self hosted and wordpress based. So you can effectively run this on any shared hosting with unlimited tasks. And new integrations are constantly being added. It's crazy how valuable this tool is.

The software works really well, and the team is adding integrations constantly, so I'm positive it eventually will catch up with Zapier. The flows are very easy to create and if you have any doubt, the team will give you great support.
