Alert the VIP team on Slack for WooCommerce orders over $500 and email a confirmation for the rest

Each new WooCommerce order is checked against a 500 threshold: orders over it alert your VIP team in Slack, and every other order sends the customer a confirmation email with their order number.

The Alert the VIP team on Slack for WooCommerce orders over $500 and email a confirmation for the rest workflow on the FlowMattic canvas, with 4 steps across WooCommerce, Branch, Slack, Email
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Your largest orders often deserve a personal touch, such as a careful pack, a handwritten note or a quick call. Everyone else needs a clear confirmation. This workflow splits new WooCommerce orders by value, so your VIP team hears about the big ones and smaller orders get a friendly email.

The WooCommerce trigger runs for every order your store receives. A Branch step then checks whether the order total is greater than 500. On the Yes path, a Slack channel message names the order number, currency, total and customer's first name, and asks for priority handling. On the No path, the Email step sends the billing email a message with the subject "Order" plus the number and "confirmed", greeting the customer by name and saying the order is being prepared.

A Branch takes exactly one path, so an order gets either the Slack alert or the email, never both. The comparison uses whole numbers in your store's currency: decimals are cut off, so an order of 500.40 counts as 500 and takes the email path. VIP customers get no email from this workflow; WooCommerce's own order emails still apply.

After import, choose the Slack channel your VIP team watches. The Email step sends through WordPress mail or your SMTP account.

White-glove packing for big orders

A wine shop's VIP team sees each order over 500 in Slack and adds gift wrap and a thank-you card before it ships.

Personal call for high-value buyers

A furniture store's account manager calls each customer whose order crosses the threshold to arrange delivery.

Friendly confirmations for everyone else

A stationery shop sends smaller orders a short, personal confirmation from its own mailbox in addition to WooCommerce's receipt.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    WooCommerce New Order Created

Starts each time a new WooCommerce order is created and passes the order number, total, currency and billing details to the Branch.

  2. Step 2Logic
    Branch VIP order (over $500)?

Tests if the order total is above 500. Larger orders take the Yes path; all others, including an order of exactly 500, take the No path.

  3. Step 3Action
    Slack Send Channel Message

Yes path. Posts a VIP alert to Slack with the order number, currency, total and the customer's first name, asking for priority handling. Choose your VIP team's channel once imported.

  4. Step 4Action
    Email Send Email

No path. Emails the customer's billing address that their order is confirmed and being prepared, with the order number in the subject, through WordPress mail or SMTP.

What you need

  • FlowMatticCore
  • WooCommerce PluginPlugin
  • Slack AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Change the Branch value to suit your store, and remember it uses your store currency, so 500 means 500 euros on a euro store.
  • Add an Email step after the Slack message on the Yes path if your VIP customers should get a confirmation from this workflow too.
  • Put a Filter between the WooCommerce trigger and the Branch that continues only for processing or completed orders, so unpaid orders don't alert the team or email the customer.

Questions about this workflow

Do VIP WooCommerce orders get the confirmation email too?

Not from this workflow. The Branch sends them down the Slack path only. Add an Email step after the Slack message on the Yes path if you want both.

Which path does an order of 500.40 take?

The email path. The Branch compares whole numbers and drops the decimals, so 500.40 counts as 500, which is not greater than 500. Orders of 501 or more go to Slack.

Does the $500 threshold work on a store that isn't in dollars?

The Branch compares the order total as a number, in whatever currency your store uses. Change the value if 500 in your currency is the wrong line.

Can I send VIP alerts to a private Slack channel?

Swap the Yes path's step for Slack's Send Private Channel Message action, or use Send Direct Message to alert one person.
