When a new submission is added in FormDesigner, enroll the user in a course in LearnDash

When a FormDesigner form is submitted, FlowMattic finds the WordPress user with the email from the form and enrolls that user in a LearnDash course. It works for people who already have an account.

FormDesigner WordPress LearnDash

3 steps Setup ~5 min Used on 2.1k sites Free to import

The When a new submission is added in FormDesigner, enroll the user in a course in LearnDash workflow on the FlowMattic canvas, with 3 steps across FormDesigner, WordPress, LearnDash
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Course sites often collect requests through a form: a scholarship application, a free trial sign-up, a cohort registration. When the answer is yes for everyone, enrolling each person by hand in LearnDash is busywork. This workflow reads the email from a FormDesigner submission, finds the matching WordPress account and gives that account access to a course.

The FormDesigner trigger fires when a submission is added. The WordPress Get User by Email step looks up the user profile for an email address; map the email answer from the form into it after import. The LearnDash step then enrolls a user into a course. Its user ID is already mapped to the result of the lookup, so you only choose the course.

LearnDash enrolls WordPress users, so this flow suits forms filled in by people who already have an account on your site, such as logged-in members. A submission with an email that has no account finds no user to enroll. Test with your own account first, then with an unknown address, and look at Task History to see what each step returned.

Members request a bonus course

A membership site lets logged-in members ask for a bonus mini-course through a FormDesigner form, and each request enrolls the member right away.

Workshop sign-ups for existing students

A training company opens a FormDesigner registration for a live workshop and enrols each registered student in the matching LearnDash course.

Staff training assignments

An HR team asks employees, who all have WordPress accounts on the intranet, to confirm through a form, and each confirmation enrolls them in the compliance course.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    FormDesigner New Submission

Runs each time someone submits your FormDesigner form. Their answers, the email included, can be mapped into the user lookup.

  2. Step 2Action
    WordPress Get User by Email

Searches your WordPress site for the account that uses the submitted email. Nothing is mapped yet, so point the step at the form's email answer after import.

  3. Step 3Action
    LearnDash Enroll Into Course

Enrolls the user found in step 2 into a LearnDash course. The user ID is already mapped to the lookup result; choose the course you want submitters added to after import.

What you need

  • FlowMatticCore
  • FormDesigner AccountAccount
  • LearnDash PluginPlugin

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Put a Filter between the Get User by Email step and the Enroll Into Course step that continues only when a user ID was returned, so submissions from unknown emails stop before LearnDash.
  • Label the form's email field as the address people use to log in to your site, so the lookup finds their account.
  • To let one form enroll people in different courses, put a Router between the Get User by Email step and the LearnDash step, move the enroll step into one route, give each other route its own copy with a different course, and use course-choice conditions that can't both match.

Questions about this workflow

What if the FormDesigner email doesn't belong to any WordPress user?

Then the lookup has no user to return and LearnDash has nobody to enroll. Task History shows what the Get User by Email step returned for that run.

Does this create WordPress accounts for new LearnDash students?

No, it only finds existing users. To cover newcomers, swap the lookup for WordPress's New User action and map its user ID into the enroll step. For an address that already has an account, WordPress keeps the existing one rather than adding another, and the run's Task History entry lists the user ID that came back.

Is the LearnDash course chosen in the template?

No. The template maps only the user ID into the Enroll Into Course step, so you pick the course when you set the step up.

What happens if the user is already enrolled in the LearnDash course?

LearnDash decides how to treat an existing enrollment. Run a test with an enrolled account and check the step's response in Task History.

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.

Tijn

Ease of use and terrific support from the founder. Tons of integrations and regular updates. The Flowmattic custom app is great especially if you want to integrate apps that aren't available yet inside Flowmattic.
