When new form submission is received in FormCrafts, create a new coupon in WooCommerce

Each FormCrafts submission creates a new coupon in your WooCommerce store from the details you map, so a sign-up, survey or entry form can hand out a discount without you making codes by hand.

The When new form submission is received in FormCrafts, create a new coupon in WooCommerce workflow on the FlowMattic canvas, with 2 steps across FormCrafts, WooCommerce
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Offering a discount for filling in a form is a common way to reward sign-ups, but making a coupon in WooCommerce for every entry is slow. This workflow creates a WooCommerce coupon each time someone submits your FormCrafts form.

The FormCrafts trigger fires when a new submission is received and passes the answers to FlowMattic. The WooCommerce step then uses Create Coupon to add a new coupon to your store. You set the coupon code and discount in that step, mapping in submission data where you want each code to differ.

Check two points before the workflow goes live. First, WooCommerce expects every coupon code to be unique, so a fixed code is likely to be refused after the first run, and Task History shows that error. Build each code from something that changes per submission. Second, the template only creates the coupon. Nothing sends it to the person, so add an email step if they should receive the code.

Newsletter sign-up discount

A FormCrafts sign-up form on your store creates a one-off coupon for each new subscriber, ready to send in a welcome email you add.

Customer survey thank-you

Shoppers who complete a FormCrafts feedback survey get a coupon created in WooCommerce as a thank-you for their time.

Trade show lead capture

Visitors fill in a FormCrafts form on a tablet at your stand, and each entry creates a coupon they can use on your online store.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    FormCrafts New Submission Received

Fires when FormCrafts receives a new submission for your form. Every answer becomes available to map into the WooCommerce coupon.

  2. Step 2Action
    WooCommerce Create Coupon

Adds a fresh coupon to WooCommerce for this submission. Set the code and discount, and map in submission data so each coupon code is different. Check a test run to see the step's options.

What you need

  • FlowMatticCore
  • FormCrafts AccountAccount
  • WooCommerce PluginPlugin

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add WooCommerce's Add Email(s) to Coupon step after the coupon is created and map the submitter's email, if the form collects one, so only that person can use the code.
  • Add an email step after WooCommerce, such as Gmail's Send Email, to send the new coupon code to the person who filled in the form.
  • Submit a test entry in FormCrafts after import, then open WooCommerce and check that the coupon appears with the code and discount you expect.

Questions about this workflow

Does the FormCrafts submitter receive the coupon code?

Not as imported. The workflow creates the coupon in WooCommerce and stops. Add an email step after it to send the code to the person.

What if two FormCrafts entries produce the same coupon code?

WooCommerce expects unique codes, so the second coupon is likely refused and Task History shows the response. Build the code from data that differs on every submission.

Can someone submit the FormCrafts form many times for more coupons?

Yes, as imported, since every submission creates a coupon. Limiting each coupon to the submitter's email helps, but nothing stops repeat entries.

Must WooCommerce run on the site where FlowMattic creates the FormCrafts coupons?

Yes. The coupon is created by FlowMattic on your WordPress site, so WooCommerce must be active there. FormCrafts is connected as an outside service.
