Connect Google Sheets and Dropbox

Google Sheets often holds the list of clients, jobs or orders, and Dropbox holds the files for each one. FlowMattic links them from your WordPress site: a new row can make a Dropbox folder and share link, new files can be indexed in the sheet, and the sheet itself can be backed up to Dropbox. Good for agencies, photographers and accountants.

When Google Sheets fires New Spreadsheet Row, FlowMattic runs Create Folder in Dropbox with the data from that event.

You build this in the FlowMattic workflow builder on your own site. See the setup steps

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Create a Dropbox folder for each new client row

Add a client to the sheet and Create Folder makes their folder, Create Shared Link makes a link, and Update Row puts that link next to the client's name.

Ask each client for their documents with a file request

Create File Request makes an upload link for the client's folder, and Update Row stores it, so you can send one link that drops their files where they belong.

Keep a sheet index of files added to a folder

Every file added to a Dropbox folder gets a row with name, path and a share link, so a team can search and filter deliverables in the sheet.

Back a sheet up to Dropbox every night

A Schedule exports the sheet as an Excel file and Upload File saves it in a dated backup folder, giving you a copy outside Google.

Move a job's folder to the archive when it is closed

Change the status column to Closed and Move File moves the job's folder to your archive, so active work stays easy to find.

Mark the row when a file is deleted from Dropbox

File Deleted finds the file's row by path and marks it removed, so the index never points people to files that are gone.

Save a PDF snapshot of the sheet for the client

When the report tab is marked final, Export Sheet to PDF makes a copy and Upload File puts it in the client's Dropbox folder.

Set up: a Dropbox folder per row

At the end, each new row in your client sheet has its own Dropbox folder and a share link written into the row.

  1. Add the columns

Give the sheet columns for Client name, Dropbox path and Share link. The path column lets later workflows find the folder.

  2. Connect both accounts

Under Connects, add a Google account that can edit the sheet and the Dropbox account where folders should live.

  3. Start with New Spreadsheet Row

Create a workflow with Google Sheets New Spreadsheet Row, choose the sheet and add a test client row.

  4. Create the folder and link

Add Dropbox Create Folder with a path built from the client name, then Create Shared Link for that path.

  5. Write the link back

Add Google Sheets Update Row, map the path and link into their columns, test and switch on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Dropbox paths must be unique. Two clients with the same name would point at one folder, so build the path from the name plus an ID column.
  • Who can open a shared link depends on your Dropbox account and team settings. Check one link in a private browser window before sending them out.
  • New Spreadsheet Row runs on rows added after the workflow is on. Existing rows can be processed once with a Schedule, Get Rows and an Iterator.

Why run this pair with FlowMattic

Google Sheets and Dropbox connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

The sheet stays the index

Every client, job or order row points to its files, so nobody hunts through Dropbox to find the right folder.

Folder setup is never forgotten

Each new row gets its folder, link and file request the same way, which matters when several people add clients.

Unlimited runs on your server

FlowMattic runs on your WordPress site, so nightly backups and every new row run without per-task fees.

Common questions

Can Google Sheets create Dropbox folders automatically?

Yes. Start a workflow with New Spreadsheet Row and add Dropbox Create Folder with a path built from the row, such as /Clients/ plus the client name.

Can I back up a Google Sheet to Dropbox?

Yes. Use the Schedule trigger, export the sheet with Export Sheet to Excel, Export sheet to CSV or Export Sheet to PDF, and save the file with Dropbox Upload File.

Can new Dropbox files be logged in a sheet?

Yes. New File in Folder can add a row for each file with its name and path, and Create Shared Link can add a link in the same step sequence.

Can a Dropbox file request go out per client?

Yes. Create File Request makes an upload link tied to a folder. Store it in the row and send it with your usual email step.

Can rows generate images or files in Dropbox?

Yes. The workflow library has a template that reads a prompt from a new row, generates an image with an AI image service and uploads it to Dropbox.
