AI agent that validates warranty claims and replies to the customer

Warranty claims sent through a Jotform form are read by an AI Agent, which judges whether each one looks valid, emails the customer an approval or a request for missing details, and records the outcome.

The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Most warranty claims need the same first reply: either yes, we'll sort it, or please send us what is missing. Writing that by hand for each claim slows your response, and customers waiting on a broken product notice. This workflow drafts and sends that first reply for you, based on what the customer told you.

The Jotform trigger passes the customer's name, email, product, purchase date and a description of the problem. The AI Agent is told to decide whether the claim looks valid and write a clear, empathetic reply that either approves it or asks for missing details. It has two tools: Send Email, addressed to the customer's email from the form, and a Google Sheets Add New Row tool with a claim status column the agent fills in.

After the agent step, FluentCRM adds a note titled Warranty claim to the contact with that email, naming the product. As imported, the agent knows nothing about your warranty terms, and its reply goes to the customer without review. Add your policy to its instructions before you turn the workflow on.

Small electronics brand

Customers report faults through a Jotform form. Clear claims get an approval email, and vague ones get a polite request for a photo or order number.

Furniture shop with a one-year warranty

With the warranty period written into the agent's instructions, claims are checked against the purchase date the customer gives before any reply goes out.

Support team tracking claim volume

The claim status column builds a running log of how many claims were approved or sent back, which helps when you review product quality.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Jotform New Form Submission

Runs when someone submits your Jotform warranty form. The agent receives the name, product, issue and purchase date, and the email is used for the reply and the CRM note.

  2. Step 2Action
    AI Agent Execute Agent

The AI Agent weighs the claim and writes a reply that either approves it or asks for missing details, then is meant to send it and log the outcome with its tools. Its model, GPT-4o, runs on the OpenAI account you connect.

  3. Step 3Tool
    Email Send Email

The agent's tool for the reply. It is addressed to the email from the form, and the agent writes the subject and body. It sends through your FlowMattic email settings.

  4. Step 4Tool
    Google Sheets Add New Row

The agent's tool for recording the result in Google Sheets, with the claim status written by the agent. Connect Google and check a test row to see what lands in the sheet.

  5. Step 5Action
    FluentCRM Add Note to Contact

Adds a note titled Warranty claim, reading Filed a warranty claim for and the product name, to the FluentCRM contact with the customer's email.

What you need

  • FlowMatticCore
  • Jotform AccountAccount
  • AI ProviderAccount
  • Google Sheets AccountAccount
  • FluentCRM PluginPlugin

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Write your warranty rules into the agent's instructions: the coverage period, what is excluded and what proof you need. Without them it decides from general sense.
  • If you want a person to approve before the customer hears back, point the email tool at your support inbox instead of the customer, and forward replies you agree with.
  • Map the customer's name and product from the form into the Google Sheets tool too, so each status row is easy to trace back to a claim.

Questions about this workflow

Does the agent check the Jotform claim against my order records?

No. It sees only what the customer typed into the form: product, issue and purchase date. It has no access to your orders, so it cannot confirm the purchase.

Can the agent approve a warranty claim on its own?

Yes, as imported. Its instructions let it write an approval and the email tool sends to the customer. Change the instructions or the recipient if approvals need a human.

What if the customer is not a FluentCRM contact?

The note step targets the contact with that email and does not create one. Test with a new address to see how it behaves, and add a Create or Update Contact step before it if needed.

Do the form fields need these exact names?

The agent's input uses name, email, product, message and purchase_date. If your Jotform form names them differently, remap them in the agent step and the note.

It is self hosted and wordpress based. So you can effectively run this on any shared hosting with unlimited tasks. And new integrations are constantly being added. It's crazy how valuable this tool is.

The software works really well, and the team is adding integrations constantly, so I'm positive it eventually will catch up with Zapier. The flows are very easy to create and if you have any doubt, the team will give you great support.
