Add a Google Calendar event when a new Weezly invitee is created

When someone schedules an event through Weezly, this workflow creates a detailed event in Google Calendar from the booking data, so the meeting appears on the calendar you choose.

Weezly Google Calendar

2 steps Setup ~5 min Used on 2.8k sites Free to import

The Add a Google Calendar event when a new Weezly invitee is created workflow on the FlowMattic canvas, with 2 steps across Weezly, Google Calendar
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

A booking page is only half the job; the meeting also has to show up where you plan your day. If your team works from Google Calendar, this workflow puts each new Weezly booking there with the details you need.

The Weezly trigger, Invitee Created, fires when an invitee schedules an event. FlowMattic passes the booking data to Google Calendar, where Create Detailed Event adds an event to the calendar you pick. You map the booking's time, the invitee's name and any other details into the event.

If your Weezly account already adds bookings to the same Google Calendar, you may end up with two events for one booking, so pick a calendar that isn't synced that way. Cancellations are not handled here; they would need their own workflow. Task History records every event created.

Shared team calendar for consultations

Bookings made with any consultant go onto one shared Google Calendar, so the office can see the whole day's appointments.

Assistant managing a calendar

An assistant who plans around a separate Google Calendar sees each new Weezly booking appear there with the invitee's details.

Room or resource calendar

Each booking adds an event to a calendar for a meeting room, so others can see when it is in use.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Weezly Invitee Created

Fires when an invitee schedules an event through Weezly. The booking data, such as the time and the invitee's details, is passed on for mapping.

  2. Step 2Action
    Google Calendar Create Detailed Event

Creates a new Google Calendar event with detailed options. Connect your Google account, choose the calendar and map the Weezly booking's time and invitee details into the event.

What you need

  • FlowMatticCore
  • Weezly AccountAccount
  • Google Calendar AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Put the invitee's name in the event title so the calendar view shows who each meeting is with.
  • Build a second workflow on Weezly's Invitee Canceled trigger that uses Google Calendar Delete Event, so cancelled bookings come off the calendar. You need a way to find the right event, such as a List Events step first.
  • Schedule a test booking after import and check that the event's time zone matches the booking before you rely on it.

Questions about this workflow

Does a cancelled Weezly booking remove the Google Calendar event?

No. This workflow only creates events. Weezly's Invitee Canceled trigger can start a separate workflow that removes or updates the event.

Will the invitee get a Google Calendar invitation?

Not unless you set that up. Run a test to see whether the step offers attendees, and add the invitee's email there if it does.

Are bookings made before I import added to Google Calendar?

No. Only invitees who schedule after the workflow is turned on create events.

Could I end up with duplicate events?

Yes, if Weezly also syncs bookings to the same calendar. Point this workflow at a calendar Weezly doesn't write to.

The software works really well, and the team is adding integrations constantly, so I'm positive it eventually will catch up with Zapier. The flows are very easy to create and if you have any doubt, the team will give you great support.
