Create a ClickUp task and alert the team in Discord when a Retainr order is accepted

When you accept an order in Retainr, this workflow opens a matching task in ClickUp and posts a message to a Discord channel, so the work is logged and your team hears about it at the same moment.

The Create a ClickUp task and alert the team in Discord when a Retainr order is accepted workflow on the FlowMattic canvas, with 3 steps across Retainr, ClickUp, Discord
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Accepting a Retainr order is the point where client work actually begins. If your team plans in ClickUp and talks in Discord, someone has to copy the order into a task and then tell everyone it exists. This workflow handles both hand-offs for every order you accept.

The Retainr trigger fires when an order is accepted and passes the order details to the next steps. FlowMattic uses those details to create a task in ClickUp, in the place you pick and with the order data you map into it. The last step posts a message to the Discord channel you choose, and you can write that message from the order details, the ClickUp task, or both.

Steps run in order, so the Discord post comes after the task is created. Each run appears in Task History, where you can see what Retainr sent and what ClickUp and Discord returned.

Design subscription studio

A client's design request is accepted in Retainr. The designer finds a ClickUp task waiting, and the studio's Discord channel shows which client it is for.

Productized dev service

Accepted maintenance orders become ClickUp tasks for the developer on rotation, while the Discord post lets the rest of the team see the incoming load.

Content agency intake

Every accepted writing order lands in the ClickUp list your editors work from, and a Discord message names the order so an editor can pick it up.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Retainr Accepted Order

Runs each time an order is accepted in your Retainr account. The order data Retainr sends becomes available to map in the ClickUp and Discord steps.

  2. Step 2Action
    ClickUp Create Task

Creates a new task in ClickUp from the accepted order. Connect your ClickUp account, choose where the task goes, and map order details such as the client and request into the task.

  3. Step 3Action
    Discord Send Channel Message

Tells the team in Discord that the Retainr order is in, posting to whichever channel you set. Write the text from order fields, and pull in values from the new ClickUp task if the team needs them.

What you need

  • FlowMatticCore
  • Retainr AccountAccount
  • ClickUp AccountAccount
  • Discord AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Run a test after import by accepting an order in Retainr, so FlowMattic captures the real order fields before you map them in ClickUp and Discord.
  • If only some orders need a ClickUp task, for example orders for one service, add a Filter between the Retainr trigger and the ClickUp step. Other orders then get no Discord post either, since a Filter stops every later step.
  • When different teams handle different orders, add a Router between the Retainr trigger and the ClickUp step, with one route per service type. Give each route its own ClickUp and Discord steps, and use conditions that can't both match.

Questions about this workflow

Does the workflow fire for Retainr orders that are only placed, not accepted?

No. The trigger is Accepted Order, which fires when an order is accepted. Orders still waiting for your decision do not start a run.

Can the Discord message link to the ClickUp task?

Yes, if ClickUp returns the task link in its response. The Discord step runs after ClickUp, so any value ClickUp sends back can be mapped into the message. Check a test run to see what it returns.

Does every accepted Retainr order create a ClickUp task?

Yes, as imported. Nothing filters the orders, so each accepted order runs both steps once and gets one task and one Discord post. Task History shows what ClickUp and Discord returned for each order.

Which Retainr, ClickUp and Discord accounts do I need?

A Retainr account where you accept orders, a ClickUp workspace to hold the tasks, and a Discord server where you can connect FlowMattic to post in a channel.

It's very straightforward, has a lot integrations and they work well. It is one thing to 'integrate' new external software, but integrating it well, with lots of options is where FlowMattic shines.
