Create a Google Calendar event when a Clarityflow appointment is scheduled

When a client schedules an appointment in Clarityflow, this workflow creates a matching event in Google Calendar with the details you map, so coaching sessions sit next to the rest of your schedule.

The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Coaches who book sessions through Clarityflow often run the rest of their week from Google Calendar. If the two aren't joined, appointments have to be copied over by hand, and a missed one means a clash. This workflow puts each new Clarityflow appointment into Google Calendar as an event.

The Clarityflow trigger runs when an appointment is scheduled and passes the appointment data to FlowMattic. The second step is Create Detailed Event in Google Calendar, which creates a new event with detailed options. Map the appointment's start and end times, a title such as the client's name, and any notes you want on the event.

The workflow creates events only. If an appointment is later moved or cancelled in Clarityflow, the calendar event stays as it was. FlowMattic's Clarityflow triggers don't cover those changes, so you edit the event yourself. Every scheduled appointment produces one event. Task History keeps a record of each run and of what Google Calendar returned.

Coach with one main calendar

A business coach books clients through Clarityflow and plans everything else in Google Calendar. Each session appears there without retyping.

Making sessions visible to an assistant

Events go into a Google Calendar shared with a virtual assistant, who can then plan around client sessions.

Consultant juggling several tools

A consultant who uses Clarityflow for one programme keeps all appointments in a single Google Calendar for an overview of the week.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Clarityflow Appointment Scheduled

Runs each time an appointment is scheduled in Clarityflow. The appointment details are made available to the calendar step. Book a test appointment to capture the data.

  2. Step 2Action
    Google Calendar Create Detailed Event

Adds one event to Google Calendar for the booking. Map the start and end time from the Clarityflow appointment, plus a title and description. Connect your Google account on import and choose the calendar.

What you need

  • FlowMatticCore
  • Clarityflow AccountAccount
  • Google Calendar AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Put the client's name in the event title, and a link back to Clarityflow in the description if the trigger data includes one, so you can open the client's details from your calendar.
  • If you use Clarityflow's form or purchase triggers too, clone this workflow for each one rather than adding them here, since each trigger sends different data.
  • Compare the event time with the booking after your first test run. If they differ, look at the raw time value in Task History and compare the time zones of your Google Calendar and your Clarityflow account.

Questions about this workflow

Does a rescheduled Clarityflow appointment move the Google Calendar event?

No. The trigger fires only when an appointment is scheduled, and the step only creates events. Moves and cancellations aren't copied, so update the calendar event by hand when a session changes.

Can I get two events for one Clarityflow appointment?

If Clarityflow already writes bookings to the same Google Calendar through its own settings, yes. In that case choose a different calendar in the step or turn one of the two off.

Is the client invited to the Google Calendar event?

Not unless you set it up. The template creates the event in your calendar. Check the step's options after import, or add Google Calendar's Add Attendee to Event action.

Are appointments booked before I turn this on added?

No. Only appointments scheduled after the workflow is active create calendar events.

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.
