Create a HubSpot CRM contact for each new Cal ID booking

Each new booking made through Cal ID creates a contact in HubSpot CRM from the booker’s details, so the people who schedule time with you are in your CRM before the meeting starts.

The Create a HubSpot CRM contact for each new Cal ID booking workflow on the FlowMattic canvas, with 2 steps across Cal ID, HubSpot CRM
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

A booking tells you someone wants to talk, but if their details stay in your scheduling tool, your sales or account team can't see them in HubSpot. Adding each booker by hand is easy to forget on a busy week. This workflow creates the HubSpot contact for you each time a booking comes in.

The Cal ID trigger fires when a new booking is created. FlowMattic takes the booking data, such as the attendee's name and email, and passes it to HubSpot CRM, where the Create Contact action adds a contact built from the values you map.

Create Contact in HubSpot is create-only: it doesn't look up or update people already in your CRM, so a repeat booker may be refused by HubSpot as a duplicate. Task History shows that response on the HubSpot step. Reschedules and cancellations aren't part of this template, because the trigger only covers new bookings.

Discovery calls for a sales team

Prospects book an intro call through Cal ID, and each one appears in HubSpot so the rep can check the record and add notes before the call.

Consultants taking first sessions

A coach or consultant shares a Cal ID link on their site. Every new client who books ends up in HubSpot, ready for follow-up emails after the session.

Demo requests for a software product

Demo bookings land in HubSpot as contacts, giving marketing a record of who asked for a demo alongside the rest of their CRM data.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Cal ID Booking Created

Starts each time someone books a meeting with you through Cal ID. The booking data, including the attendee's details, is passed to the HubSpot step for mapping.

  2. Step 2Action
    HubSpot CRM Create Contact

Sends the booker's details to HubSpot CRM, where a contact record is made for them. Map the attendee's email and name from the trigger, then check a test booking to confirm the contact is created with the right values.

What you need

  • FlowMatticCore
  • Cal ID AccountAccount
  • HubSpot CRM AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Map the meeting type or event name into a HubSpot contact property if you have one for it, so you can see from the record which kind of call each person booked.
  • Make a test booking with an address that isn't in HubSpot yet, then make a second one with the same address to see how HubSpot responds to a duplicate in Task History.
  • Add a Filter after the trigger if only some Cal ID event types should create contacts, for example sales calls but not internal meetings.

Questions about this workflow

What happens if the person who books is already in HubSpot?

This template never updates HubSpot records. HubSpot may refuse a contact whose email already exists, and Task History shows its response. The existing contact is not changed.

Do rescheduled or cancelled Cal ID bookings update HubSpot?

No. The trigger fires on new bookings only. Reschedules and cancellations don't run this workflow.

Which Cal ID booking details reach HubSpot?

Only the ones you map in the HubSpot step. Make a test booking after import so the booking fields appear in FlowMattic, then pick which ones fill the contact.

It's very straightforward, has a lot integrations and they work well. It is one thing to 'integrate' new external software, but integrating it well, with lots of options is where FlowMattic shines.
