What this workflow does
Some support systems are custom builds that write tickets straight into a database. The data is there, but nobody sees a new ticket until someone runs a query. Support teams that plan their work in ClickUp need those tickets as tasks. This workflow creates one for each new ticket row.
The Remote SQL trigger fires when a new row is inserted into the table you select on your remote MySQL database. FlowMattic reads that row's columns and passes them on. The ClickUp step then creates a new task, and you map columns such as the ticket subject, customer email and message into the task name and description.
The template creates a task for every new row in the table, and it does nothing when a row is later edited or closed. Insert a test row after import so FlowMattic picks up the column names, then map them in the ClickUp step.
In-house helpdesk built on MySQL
Your custom ticket form writes to a database table. Each new ticket shows up as a ClickUp task your support team can assign and track.
SaaS app logging bug reports
Bug reports submitted inside your app land in a database table, and each one becomes a task in the support team's ClickUp list.
Warranty or returns requests
A returns portal stores requests in a table. The team handling returns works through them as ClickUp tasks.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Remote SQL New RowRuns when a new row is inserted into the selected table on your remote MySQL database. The row's column values are passed on to map into the task.
ClickUp Create TaskCreates a new task in ClickUp for the ticket. Map columns from the new row into the task fields and connect your ClickUp account on import.
What you need
- FlowMatticCore
- Remote SQL AccountAccount
- ClickUp AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Put the ticket's ID from the table in the task name, so your team can match each ClickUp task to its database row.
- Add a Filter after the trigger that checks a priority or category column, if only some tickets should become ClickUp tasks.
- Use a Router with routes on distinct category values to create tasks in different ClickUp lists for billing and technical tickets.
Questions about this workflow
Which database can the Remote SQL trigger watch?
A remote MySQL database that you connect in FlowMattic. You pick the table holding your tickets when you set up the trigger.
Does editing a ticket row in the database update the ClickUp task?
No. The trigger only fires for newly inserted rows, and the workflow does not update tasks it created earlier.
Do I need a ClickUp account to import this?
Yes. Tasks are created through your ClickUp account, which you connect when you import the workflow.
Will tickets already in the table become ClickUp tasks?
No. Only rows inserted after you turn the workflow on create tasks.
