What this workflow does
When a sign-up, onboarding or order form on your WordPress site is the start of a paid relationship, the next step is usually adding that person to your billing system. Copying details from Gravity Forms into Zoho Billing by hand invites typos in names and emails. This workflow creates the customer from the entry.
The Gravity Forms trigger New Form Submission fires for each entry on the form you pick and passes the answers to FlowMattic. The Zoho Billing step runs Create Customer, which creates a new customer. You map the form's answers into it, starting with the person's name and email.
The action only creates customers. It does not check Zoho Billing for an existing customer first, so the same person submitting twice can lead to a second customer or a rejected request. Task History shows what Zoho Billing returned for each entry.
Client onboarding form for an agency
New clients fill in an onboarding form with their company details. Each entry creates the customer in Zoho Billing, ready for the first invoice or subscription.
Paid membership sign-up
Everyone who completes your membership sign-up form becomes a Zoho Billing customer, so the paid plan can be attached to their record right after.
Service booking that bills later
A booking form for consulting sessions sets up each new client as a Zoho Billing customer, so you can invoice after the session.

What you need
- FlowMatticCore
- Gravity Forms PluginPlugin
- Zoho Billing AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add Zoho Billing's Create Subscription after this step if the form also captures which plan the person chose, so they are subscribed straight away.
- Make the email field required in Gravity Forms so every new Zoho Billing customer has an address for invoices.
- Add a Filter after the trigger that continues only when a consent or terms checkbox is ticked before the customer is created.
Questions about this workflow
What happens if the same person submits the Gravity Forms form twice?
The workflow runs Create Customer again. Zoho Billing may add a second customer or refuse the request, and Task History shows its response. Test with a known customer to see which.
Does this create an invoice or subscription in Zoho Billing?
No. The Zoho Billing step stops at setting up the customer record. Add a Create Subscription step from Zoho Billing after it if you want the plan set up too.
Can I use a Gravity Forms field for the company name?
If the Create Customer step offers a company detail, map your Gravity Forms field to it. Open the step after import to see which details it accepts.
Are earlier Gravity Forms entries sent to Zoho Billing?
No. Only entries submitted after the workflow is turned on create customers.
