Create a Breeze workspace for each new Monday.com item for team collaboration

Every new item created in Monday.com gets its own Breeze workspace, named from the item details you map, so the team has a place in Breeze to work on it.

The Create a Breeze workspace for each new Monday.com item for team collaboration workflow on the FlowMattic canvas, with 2 steps across Monday.com, Breeze
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Some teams plan in Monday.com but do the day-to-day project work in Breeze. When a new client, campaign or project lands on a Monday.com board, someone then has to go and set up a matching space in Breeze. This workflow does that setup for you, once per new item.

The Monday.com Item Creation trigger starts a run as soon as someone adds an item. FlowMattic receives the item's data, such as its name, and a test run with a real item shows which values you can use.

The Breeze Create Workspace step then makes a new workspace. It ships unmapped: after import you connect Breeze and map the Monday.com item name, and any other details you want, into the new workspace.

Because every new item the trigger receives runs the workflow, check after import which board it listens to. A board where each item is a whole client or project suits one workspace per item. A task board with dozens of new items a day would give you dozens of workspaces. Task History shows each run and what Breeze returned.

A workspace for each new client

An agency adds every signed client as an item on its Monday.com accounts board, and each one gets its own Breeze workspace for projects and files.

Department spaces from a planning board

An operations lead lists new initiatives on a Monday.com board, and the teams that deliver them start work in a fresh Breeze workspace named after each initiative.

Event planning per event

An events company creates a Monday.com item for each booked event, so the crew gets a separate Breeze workspace for that event's tasks.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Monday.com Item Creation

Fires when a new item is created in Monday.com. The item's details, including its name, are passed to Breeze; check a test run with a real item to see the values available.

  2. Step 2Action
    Breeze Create Workspace

Makes a new workspace in Breeze. Nothing is mapped on import, so connect your Breeze account and map the Monday.com item name and any other details into the workspace.

What you need

  • FlowMatticCore
  • Monday.com AccountAccount
  • Breeze AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Set the trigger up on a board whose items are whole projects or clients, not individual tasks, if the trigger lets you choose one. Otherwise you may end up with a workspace for every small to-do.
  • Add a Breeze Create Project step after Create Workspace if you also want a starting project inside each new workspace. Map the workspace from the previous step's result.
  • If only some new items need a workspace, put a Filter between the Monday.com trigger and the Breeze step on a value from the item data, such as its group. Choose that value once a test item shows what arrives.

Questions about this workflow

Does renaming a Monday.com item rename its Breeze workspace?

No. Only item creation starts this workflow. Later changes to the item stay in Monday.com unless you build a second workflow for them.

Will items already on my Monday.com board get workspaces?

No. Only items created after the workflow is turned on start a run. Set up Breeze workspaces for existing items by hand.

What does the Breeze workspace contain when it is created?

Just what the Create Workspace step sets from your mapping. Projects, lists and cards are separate Breeze actions in FlowMattic that you can add as later steps.
