Create monday.com items with new form entries in WPForms

Each new WPForms entry on your WordPress site becomes an item on a monday.com board, filled with the answers you map, so requests from your website join the rest of your team’s work.

WPForms Monday.com

The Create monday.com items with new form entries in WPForms workflow on the FlowMattic canvas, with 2 steps across WPForms, Monday.com
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

WPForms is good at collecting requests, but each entry reaches you as an email notification, away from where your team tracks work. If you plan in monday.com, someone has to retype each request onto a board before anyone acts on it. Here, FlowMattic creates the board item instead.

The WPForms New Form Submission trigger runs each time a visitor submits a form built with the plugin. Every answer becomes available in FlowMattic. The second step is Create Item in Monday.com, which adds a new item to a board, named and filled from the form answers you map.

Every submission produces one item. The workflow doesn't check for an item that already exists for the same person, and it doesn't change the entry in WPForms, so your form notifications keep working as before. The first data leaves your site at the Monday.com step. Task History lists each run if an item is missing.

Website project requests

A web agency's WPForms brief form asks for the client's goals and deadline. Each brief becomes a monday.com item that the project lead assigns.

Internal IT or facilities tickets

Staff report a problem through a WPForms form on the company intranet. Each report lands on the support board as an item to work through.

Content suggestions

Readers suggest topics through a form on your blog. Each suggestion appears on the editorial board in monday.com for the team to review.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    WPForms New Form Submission

Runs when a visitor submits one of your WPForms forms. All answers from the entry are captured and can be mapped into the monday.com item.

  2. Step 2Action
    Monday.com Create Item

Adds a new item to a monday.com board from the form entry. Connect your Monday.com account, map the WPForms answers into the item, and run a test to see where it lands.

What you need

  • FlowMatticCore
  • WPForms PluginPlugin
  • Monday.com AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Use a short, specific answer such as the requester's name or the request title as the item name, so the board stays easy to scan.
  • If your site has several WPForms forms, add a Filter after the trigger on a value that identifies the form in the captured data, so only the right form adds items to this board.
  • Submit a test entry after import so FlowMattic captures your form's fields, then map them into the monday.com item before switching the workflow on.

Questions about this workflow

Does this change the entry in WPForms?

No. The workflow reads the WPForms submission and nothing more. WPForms handles the entry and its notifications as it normally would.

What if someone submits the WPForms form twice?

You get two monday.com items. The template creates an item for every submission without looking for duplicates.

Which WPForms answers can go into the monday.com item?

Any field the form collects. Send a test submission and check the captured data to see each value you can map.

Are old WPForms entries added to monday.com?

No. Only entries submitted after the workflow is switched on create items.

It is self hosted and wordpress based. So you can effectively run this on any shared hosting with unlimited tasks. And new integrations are constantly being added. It's crazy how valuable this tool is.

The software works really well, and the team is adding integrations constantly, so I'm positive it eventually will catch up with Zapier. The flows are very easy to create and if you have any doubt, the team will give you great support.
