Create new contact in FluentCRM from new booking in Fluent Booking

When a booking is confirmed in Fluent Booking, this workflow creates the guest as a FluentCRM contact, or updates them if their email is already there, so everyone who books a meeting with you is in your CRM.

What this workflow does

People who book a call with you are some of your warmest contacts, yet a booking plugin and a CRM keep separate lists. Unless someone copies guests across, your email follow-ups miss the people who actually met you. This workflow moves each confirmed guest into FluentCRM.

The Fluent Booking trigger fires when a booking is confirmed on your site. FlowMattic passes the booking details to FluentCRM, where Create or Update Contact looks for a contact by email address. A new email becomes a new contact. An email already in your CRM updates that contact with the values you map instead of adding a second one.

Both plugins run on your own WordPress site, so the guest's details stay there. Every confirmed booking starts a run, including repeat bookings from the same person, which simply update their contact again. Task History shows what each run sent to FluentCRM.

Discovery calls for a consultant

Prospects book a free call through Fluent Booking. Each confirmed guest is added to FluentCRM, ready for the follow-up sequence you send after the call.

Coaching sessions with returning clients

Regular clients book every few weeks. Their FluentCRM contact is updated on each confirmation instead of piling up duplicates.

Product demo bookings

A software team takes demo bookings on its site. Confirmed attendees land in FluentCRM, where the team can add them to a demo follow-up list.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Fluent Booking Booking Confirmed

Fires when a booking is confirmed in Fluent Booking on this site. The guest and booking details become available to map into FluentCRM.

  2. Step 2Action
    FluentCRM Create or Update Contact

Creates a FluentCRM contact from the booking, or updates the existing contact with the same email address. Map the guest's email and any name details you want stored.

What you need

  • FlowMatticCore
  • Fluent Booking PluginPlugin
  • FluentCRM PluginPlugin

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add FluentCRM's Add Tags to Contact step after the contact step and give booked guests their own tag, so you can tell them apart from newsletter sign-ups.
  • If not every booking belongs in the CRM, add a Filter after the trigger that checks a value in the booking data, such as which meeting type was booked.
  • Make a test booking after import and confirm it. FlowMattic captures the booking fields, and you can then map them in the FluentCRM step.

Questions about this workflow

What if the Fluent Booking guest is already a FluentCRM contact?

The step matches on email address, so the existing contact is updated with the mapped values. No duplicate contact is created.

When exactly does Fluent Booking start this workflow?

The trigger is Booking Confirmed, described in FlowMattic as firing when a booking is confirmed on the current site. If some of your event types need approval, make a test booking of that type and check Task History to see when the run appears.

Are existing Fluent Booking appointments added to FluentCRM?

No. Only bookings confirmed after you turn the workflow on create or update contacts. Older bookings need to be added another way.

Do Fluent Booking and FluentCRM need to be on the same site?

Yes. Both triggers and actions here work with plugins on the WordPress site where FlowMattic is installed.
