Send a Slack alert when an Apptoto participant says they are not coming

When an Apptoto participant says they won’t be coming to their appointment, this workflow posts a message in a Slack channel, so your team learns about the free slot while there is still time to fill it.

The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Apptoto sends reminders and collects replies, and some of those replies are cancellations. If the front desk only notices them later, the empty slot goes to waste. This workflow posts each one in Slack as it happens.

The Apptoto trigger, Participant Not Coming, fires when a participant explicitly states they will not be coming to the appointment. FlowMattic then posts in Slack with Send Channel Message in the channel you pick. You write the message and map in details from the appointment, such as the participant's name and the appointment time.

Only that explicit answer triggers a post. Participants who confirm, ask to reschedule or simply don't reply don't start a run, since Apptoto reports those through other triggers. Each not-coming reply produces one Slack message, and a private channel needs Slack's Send Private Channel Message action instead.

Filling cancelled slots at a clinic

A patient replies to an Apptoto reminder that they can't make it. The front desk sees the Slack post and calls someone from the waiting list.

Salon or studio scheduling

Stylists see in Slack when a client won't be in, and can take a walk-in or shift their day.

Sales meetings with prospects

A prospect declines a booked call through Apptoto. The rep's team channel shows it so someone can follow up and offer another time.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Apptoto Participant Not Coming

Fires when an Apptoto participant explicitly says they will not be coming to their appointment. The participant and appointment details are passed to Slack.

  2. Step 2Action
    Slack Send Channel Message

Posts a message to the Slack channel you choose with the Apptoto participant and appointment details you map. Connect Slack and write the message text on import.

What you need

  • FlowMatticCore
  • Apptoto AccountAccount
  • Slack AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Put the appointment date and time first in the Slack message so whoever reads it knows at once which slot is free.
  • Build a second workflow on Apptoto's Participant Needs To Reschedule trigger if rescheduling requests should reach the same Slack channel.
  • Use Slack Send Direct Message instead if one scheduler handles all cancellations.

Questions about this workflow

Does a reschedule request in Apptoto post to Slack?

No. This workflow only listens for Participant Not Coming. Apptoto has a separate Participant Needs To Reschedule trigger for that.

What about Apptoto participants who never reply?

Nothing is posted. The trigger fires only when someone explicitly says they won't come, so silence doesn't start a run.

Which Apptoto details can the Slack message include?

Whatever the Participant Not Coming event carries. Send a test reply after import and look at the captured data before writing the message.

Can I send the Apptoto alert to a private Slack channel?

Yes, by replacing the step with Slack's Send Private Channel Message action, which is the one meant for private channels.

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.
