When a new contact is created in FluentCRM, add them to a group in Acadle
When a contact is created in FluentCRM, this workflow assigns access groups to that person’s Acadle academy account, so learners who join your list get the courses tied to those groups without you opening Acadle.

What this workflow does
If you run both an email list and an online academy, the same people usually end up in both. Giving each new contact the right course access in Acadle by hand is repetitive and easy to forget. This workflow does the assignment when the contact appears in FluentCRM.
The FluentCRM trigger fires whenever a new contact is created in your CRM. FlowMattic passes the contact's details to Acadle, where Add Groups to User assigns the access groups you pick to that academy user. You map the contact data that identifies the learner and choose the groups during setup.
The action works on an academy user, so it only succeeds for contacts who already have an Acadle account. A contact who is not yet a learner gets no group, and Task History shows what Acadle returned for that run. Test with a contact you know is in your academy before you turn the workflow on. FluentCRM runs inside WordPress, so the contact data starts on your own site.
Customers who are already learners
Your Acadle students also buy from your store, which adds them to FluentCRM. Each new contact record gives that learner the access group for your customer-only lessons.
Moving learners into a cohort group
Your Acadle learners sign up to your list through a WordPress form that feeds FluentCRM. As each contact is created, the workflow puts that learner into the current cohort's group.
Bonus course for list subscribers
Learners who join your FluentCRM newsletter get an access group that opens a short bonus course, with no manual step in Acadle.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
FluentCRM New Contact CreatedFires when a contact is created in FluentCRM on your WordPress site. The contact's details become available to map in the Acadle step.
Acadle Add Groups to UserAssigns the access groups you choose to the matching Acadle academy user, identified from the contact data you map. Connect your Acadle account on import and test with a known learner.
What you need
- FlowMatticCore
- FluentCRM PluginPlugin
- Acadle AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- If new contacts may not have an academy account yet, look at Acadle's Invite Users action in FlowMattic and test whether an invited person can receive groups before you rely on it.
- Add a Filter after the trigger that continues only for contacts with a particular tag or list, so only those contacts are given Acadle access groups.
- Create one test contact in FluentCRM with the details of someone already in your academy, then check Task History to confirm the group was assigned.
Questions about this workflow
Does the workflow create the learner in Acadle?
No. Add Groups to User assigns groups to an existing academy user. Contacts without an Acadle account are not added, and Task History shows Acadle's response on that step.
Which FluentCRM contacts trigger the Acadle step?
Every new contact, because the template has no Filter. Add one after the trigger if only some contacts should get Acadle groups.
Are existing FluentCRM contacts given Acadle groups?
No. Only contacts created after you turn the workflow on start a run. Contacts already in FluentCRM are left alone.
Can the Acadle groups be removed later?
Not by this workflow. Acadle also has Remove Groups from User and Update Groups of User actions in FlowMattic, which you can use in a separate workflow.
