When a new Copecart payment is received, add the customer to FluentCRM and log the order in Google Sheets

When Copecart reports a received payment, this workflow creates or updates the buyer as a FluentCRM contact and adds a Google Sheets row with the payment details, keeping your email list and sales log current.

The When a new Copecart payment is received, add the customer to FluentCRM and log the order in Google Sheets workflow on the FlowMattic canvas, with 3 steps across Copecart, FluentCRM, Google Sheets
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Selling through Copecart while running email marketing in FluentCRM leaves a gap. Buyers do not land in your WordPress CRM on their own, and a separate sales log means exporting and pasting. This workflow closes both gaps on every payment.

The Copecart Instant Payment Notification trigger fires when a payment is received. FlowMattic then sends the buyer's details to FluentCRM with Create or Update Contact, which matches people by email address: a first-time buyer becomes a new contact, and someone already in your CRM gets their record updated. Last, the payment data goes to Google Sheets as a new row in the spreadsheet you pick.

Every payment notification runs all three steps. A customer who buys twice is updated in FluentCRM, not duplicated, but gets two rows in the sheet, one per payment. That makes the sheet a payment log rather than a customer list. You choose which Copecart values fill each column, and Task History shows each run if you need to trace a payment.

Course launch on Copecart

Buyers of a new online course are added to FluentCRM straight after paying, ready for your onboarding emails, while the sheet tracks launch sales payment by payment.

Bookkeeping hand-off

Your accountant works from a shared Google Sheet of Copecart payments and never needs a login to Copecart or WordPress.

Segmenting buyers from leads

Contacts who have paid in Copecart sit in FluentCRM next to your free subscribers, so you can tag them and send buyer-only campaigns.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Copecart Instant Payment Notification

Starts the run each time Copecart reports a received payment through its Instant Payment Notification. Buyer and payment values from that notice can be mapped in both later steps.

  2. Step 2Action
    FluentCRM Create or Update Contact

Creates a FluentCRM contact for the buyer, or updates the existing contact with the same email address. Map the buyer's email from Copecart into the step, plus any name values you want stored.

  3. Step 3Action
    Google Sheets Add New Row

Adds a new row to the Google Sheets spreadsheet you choose, holding the payment details you map from the Copecart notification. Your Google account is linked to this step on import.

What you need

  • FlowMatticCore
  • Copecart AccountAccount
  • FluentCRM PluginPlugin
  • Google Sheets AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Make a test purchase in Copecart after import so FlowMattic captures the notification's fields, then map them in the FluentCRM and Google Sheets steps.
  • Set up the spreadsheet with a header row first, one column per value you plan to map, so each Copecart payment lines up under the right heading.
  • Place a Filter after the trigger if only some products should run the workflow, using a value from the payment notification that identifies the product.

Questions about this workflow

Will a repeat Copecart buyer show up twice in FluentCRM?

No. The FluentCRM step matches on email address, so a returning buyer's existing contact is updated. The Google Sheets step still adds a row for each payment, so they appear once per purchase in the sheet.

Are Copecart payments made before I import this copied over?

No. The workflow reacts to new payment notifications only. Earlier sales need to be exported from Copecart and imported by hand.

Must FluentCRM run on the WordPress site where I import this Copecart workflow?

Yes. FluentCRM is a WordPress plugin, and the step adds the contact on the WordPress site where FlowMattic runs.

Which Copecart payment values can go into my sales sheet?

Any value the payment notification carries. Run a test payment, then open the Google Sheets step to see the captured fields and map them to your columns.

It's very straightforward, has a lot integrations and they work well. It is one thing to 'integrate' new external software, but integrating it well, with lots of options is where FlowMattic shines.
