When a new form submission is received in Gravity Forms, check if form field contains a word, and create a new product in WooCommerce

Turn Gravity Forms submissions into WooCommerce products, with a Filter that lets through only entries whose chosen field contains a word you set. You add that condition after import.

The When a new form submission is received in Gravity Forms, check if form field contains a word, and create a new product in WooCommerce workflow on the FlowMattic canvas, with 3 steps across Gravity Forms, Filter, WooCommerce
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Some shops collect product details through a form: makers submitting items for a marketplace, staff entering stock from a tablet, or suppliers proposing new lines. Retyping each entry into WooCommerce is slow. This workflow creates the product from the form entry, but only for entries that pass a word check.

The Gravity Forms trigger starts a run for every entry a visitor sends. The entry then reaches a Filter step, Continue If Condition Meet. The template ships with no condition in that Filter, and an empty Filter matches nothing, so as imported every run stops there and no product is created. Before you turn the workflow on, set the condition the title describes: a form field that contains the word you choose.

When an entry passes, the WooCommerce step runs Create New Product with the form values you map into it. Entries that fail the check end at the Filter, and nothing is added to your store. Open Task History to see whether a given entry passed or ended at the Filter.

Approved marketplace listings

Vendors submit items through a Gravity Forms form with a Listing Type field. Only entries whose field contains Product become WooCommerce products.

In-store stock entry

Staff use one form for several tasks. When the task field contains New Item, the entry is created as a product in the shop.

Ignore test submissions

Set the Filter to continue only when a notes field contains Publish, so entries made while building the form never reach the catalog.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Gravity Forms New Form Submission

Runs each time someone submits a Gravity Forms form on your site. All the submitted fields are passed to the Filter and the WooCommerce step.

  2. Step 2Logic
    Filter Continue If Condition Meet

Checks the submission against the condition you add, such as a field that contains a chosen word. It ships with no condition, so every run stops here until you set one.

  3. Step 3Action
    WooCommerce Create New Product

Creates a new product in WooCommerce for each submission that passed the Filter. Map the form fields you want into the product, then test with a sample entry.

What you need

  • FlowMatticCore
  • Gravity Forms PluginPlugin
  • WooCommerce PluginPlugin

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Use the Filter's contains operator against the exact field you care about, and test with one entry that has the word and one that doesn't.
  • Look at the product your test entry created in WooCommerce before going live, so you can confirm each mapped form value landed where you expect.
  • Swap the Filter for a Router when you want two outcomes, for example creating a product for one word and adding a Google Sheets row for another.

Questions about this workflow

Why does nothing reach WooCommerce right after I import it?

The Filter has no condition as shipped, and an empty Filter stops every run. Add the field-contains-word condition and the WooCommerce step will run for matching entries.

Does the Filter treat Product and product as the same word?

Test it. Submit one entry in lowercase and one in capitals, then look at Task History to see which ones passed the Filter.

Do I need Gravity Forms and WooCommerce on the same site as FlowMattic?

Yes. Both are WordPress plugins, and the trigger and the product step work with the copies installed alongside FlowMattic.

What if two Gravity Forms entries describe the same product?

Each passing entry creates its own product. The workflow does not look for an existing product with the same name first.
