When a new form submission is received in Paperform, create a lead in FluentCRM

Every new Paperform submission creates a contact in FluentCRM, or updates the existing one with the same email address, so leads from your forms reach your WordPress CRM with the answers you map.

Paperform FluentCRM

2 steps Setup ~5 min Used on 362 sites Free to import

The When a new form submission is received in Paperform, create a lead in FluentCRM workflow on the FlowMattic canvas, with 2 steps across Paperform, FluentCRM
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Paperform is good at collecting enquiries, quote requests and sign-ups, but the follow-up usually happens in your CRM. If FluentCRM runs your email on WordPress, this workflow moves each person who submits a form into it as a contact, without exports or copy and paste.

The Paperform trigger fires whenever a new entry is submitted on the form you connect, and passes the answers on. Partly completed forms don't count; only full submissions start a run.

The FluentCRM step then creates a new contact, or updates the existing contact when the email address is already in your CRM. That means a person who fills in two forms doesn't end up as two contacts.

The FluentCRM step ships unmapped. After import you map at least the email address from Paperform, plus the name and any other answers you want on the contact. Submit a test entry and check Task History to see the contact FluentCRM returned.

Quote requests into a sales pipeline

A web designer's Paperform quote form creates a FluentCRM contact for each enquiry, ready for a follow-up email sequence.

Event registrations

A community group collects workshop registrations in Paperform and keeps every attendee in FluentCRM for future event announcements.

Lead magnets

A coach offers a free guide through a Paperform page and adds each person who requests it to FluentCRM, where a welcome series starts.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Paperform New Form Submission

Starts a run each time someone completes and submits your Paperform. The respondent's answers, such as name and email, are passed on to FluentCRM.

  2. Step 2Action
    FluentCRM Create or Update Contact

Creates a FluentCRM contact, or updates the existing one with the same email. The step ships unmapped: map the email, name and any other answers after import.

What you need

  • FlowMatticCore
  • Paperform AccountAccount
  • FluentCRM PluginPlugin

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Map a hidden Paperform field or the form name into a FluentCRM custom field, so you can see which form each lead came from.
  • If your form has a marketing consent question, put a Filter between the Paperform trigger and the FluentCRM step that continues only when it is accepted.
  • Add a FluentCRM Add Tags to Contact step after the contact step to tag leads by form, then start a FluentCRM automation from that tag.

Questions about this workflow

What if the Paperform respondent is already in FluentCRM?

FluentCRM matches on the email address and updates that contact instead of creating a duplicate. The values you map are written to that contact.

Do partial Paperform submissions create contacts?

No. Only finished entries start this one. FlowMattic's Paperform integration has a separate Partial Submission trigger if you want to capture unfinished forms.

Does FluentCRM have to run on the WordPress site where I import this Paperform workflow?

Yes. FluentCRM is a WordPress plugin, and the step works with the FluentCRM installed on the site where you import the workflow.
