When a new order created in WooCommerce, Add customer as HeySummit attendee
Each new WooCommerce order adds the buyer as an attendee of your HeySummit event, using the name and email from the order, so people who buy through your store are registered for the event.

What this workflow does
If you sell event access, bundles or courses with a live summit attached in WooCommerce, the buyer still has to be registered in HeySummit. Doing that by hand means copying names and emails between two systems after every sale. This workflow creates the HeySummit attendee for you when the order comes in.
The WooCommerce trigger runs once for each order your shop receives. FlowMattic passes the order's billing details to HeySummit, whose Add New Attendee action creates an attendee for the event you set in the step. You map the buyer's name and email from the order.
Keep two points in mind. First, every order runs the flow, whatever products it contains, so add a Filter if only some products include event access. Second, WooCommerce can create an order before payment is confirmed, so an unpaid order can still register someone; a Filter on the order status handles that too. Repeat buyers trigger the flow again with each order.
Selling summit tickets through WooCommerce
You sell access in your own store, and each buyer becomes a HeySummit attendee without you exporting orders.
Event access as a purchase bonus
A course or product bundle includes a seat at your online summit, and buyers of that product are registered once you add a Filter for it.
Members' event for customers
Turn the workflow on for your launch month, and every customer who orders during it is added to a customer-only HeySummit event.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
WooCommerce New Order CreatedStarts a run for every order WooCommerce records in your shop. The billing name, email and order items are passed to the HeySummit step.
HeySummit Add New AttendeeCreates a new attendee for the HeySummit event you choose. Connect HeySummit, pick the event, and map the buyer's name and email from the WooCommerce order. Run a test to confirm the attendee appears.
What you need
- FlowMatticCore
- WooCommerce PluginPlugin
- HeySummit AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add a Filter after the trigger that continues only when the order contains your event product, so other purchases don't register people.
- Add a second condition on the order status, such as processing or completed, if you only want paid orders to create attendees.
- If you sell tickets for several events, use a Router with one route per product, each with its own HeySummit step set to the matching event.
Questions about this workflow
Does every WooCommerce order add a HeySummit attendee?
Yes, as imported. The trigger fires for all new orders and there is no condition. Add a Filter on the product to limit it to event purchases.
What happens when a repeat customer orders again?
The flow runs again and asks HeySummit to add the same person to the event. Test with an email that is already registered and check Task History to see how HeySummit responds.
Does the buyer get a HeySummit confirmation email?
That is decided by your HeySummit event settings, not by this workflow. Place a test order to see what the attendee receives.
Are attendees removed if a WooCommerce order is refunded?
No. This workflow only adds attendees. Refunds and cancellations in WooCommerce don't change anything in HeySummit.
