When a new response is created in Heyflow, create a new task in ClickUp
Each new Heyflow response becomes a task in ClickUp, carrying the answers you map, so quote requests, applications and onboarding flows land straight in your team’s task list.

What this workflow does
Heyflow is good at collecting answers through step-by-step funnels, but the work those answers start usually happens elsewhere. If your team plans its work in ClickUp, copying each response into a task by hand is slow and easy to forget. Here, FlowMattic opens that task as soon as the response arrives.
The Heyflow trigger fires when a new response is created in one of your flows. FlowMattic receives the answers the respondent gave. The ClickUp step then runs Create Task, and you map those answers into the task, for example the respondent's name in the task title and their answers in the description.
One response always means one new task. Nothing is filtered or merged, so two responses from the same person give two tasks. Each run is listed in Task History, along with ClickUp's response, which helps you confirm where the task went.
Quote requests for a service business
A Heyflow funnel asks about the job, budget and timing. Each answer set becomes a ClickUp task your estimator picks up and prices.
Client onboarding questionnaires
New clients complete an onboarding flow in Heyflow, and the agency gets a ClickUp task holding their brand details and goals, ready to assign.
Job application screening
Applicants answer screening questions in Heyflow. Each response creates a ClickUp task so the hiring team reviews and moves candidates through stages.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Heyflow New ResponseStarts a run each time a new response is created in Heyflow. The respondent's answers become values you can map into the ClickUp task.
ClickUp Create TaskTurns the Heyflow answers into a ClickUp task. Connect your ClickUp account, choose where the task should go, and map the Heyflow answers into the task's name and description.
What you need
- FlowMatticCore
- Heyflow AccountAccount
- ClickUp AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Submit one test response in Heyflow after import, so FlowMattic captures the answer fields and you can map them into the ClickUp task.
- Using one workflow for several Heyflow funnels? Add a Router with a route per flow name or ID, if the trigger sends it, and give each route its own Create Task step for a different list.
- Put a clear identifier in the task name, such as the respondent's name or email if your flow asks for it, so your team can tell tasks apart at a glance.
Questions about this workflow
Does every Heyflow response create a ClickUp task?
Yes. As imported there is no Filter, so each new response runs the Create Task step once. Add a Filter after the trigger if only some responses should become tasks.
Which Heyflow answers can go into the ClickUp task?
Any field the New Response trigger sends. Run a test response and check the captured data in FlowMattic to see what is available for mapping.
Will older Heyflow responses become ClickUp tasks?
No. Only responses created after the workflow is turned on start a run. Earlier responses stay in Heyflow.
Can the new ClickUp task from Heyflow get an assignee?
Check the Create Task step after you connect ClickUp. If it offers an assignee, pick a teammate there; otherwise assign tasks in ClickUp once they arrive.
