When a new response is submitted in Reform, create a contact in FluentCRM
Each new Reform response is turned into a FluentCRM contact on your WordPress site, or updates the contact if that email is already there, so form respondents are ready for your email campaigns.

What this workflow does
Reform collects responses on its own platform, while FluentCRM keeps your contacts inside WordPress. Without a link between them, someone has to download responses and add each person to the CRM by hand. This workflow connects the two so each respondent reaches FluentCRM as soon as their response is in.
The Reform trigger fires on every new response to the form you connect. FlowMattic takes the answers from that response and passes them to FluentCRM. The Create or Update Contact action adds a new contact, or refreshes the details of an existing contact with the same email address.
The data ends up in your own WordPress database, where FluentCRM can email the person later. Every response runs the workflow, since the template has no Filter. Task History lists each run with the data received and the result of the FluentCRM step.
Consultation request forms
A Reform form books discovery calls. Each person who fills it in lands in FluentCRM, where you can tag them and send a preparation email before the call.
Course waitlists
People join a waitlist through a Reform form, and FluentCRM holds the list you email when enrolment opens.
Feedback forms from existing customers
When a customer who is already a contact answers your feedback form, their FluentCRM record is updated rather than duplicated.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Reform New ResponseFires whenever a new response is submitted to your Reform form. Connect Reform on import and send one test response so its answers are ready to map.
FluentCRM Create or Update ContactAdds the respondent to FluentCRM, or updates them if a contact with that email already exists. Map the Reform email answer to the contact email, along with any name answers your form asks for.
What you need
- FlowMatticCore
- Reform AccountAccount
- FluentCRM PluginPlugin
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Make the email question required in Reform, so FluentCRM always gets an address to match or create the contact with.
- Put a Filter between the two steps that continues only when a consent question was answered yes, so only people who agreed to hear from you are added.
- Running several Reform forms? Import the workflow once per form and give each copy its own FluentCRM mapping, so you can tell later which form a contact came from.
Questions about this workflow
Does FluentCRM need to be on the same site as FlowMattic?
Yes. FluentCRM is a WordPress plugin, and this step works with the FluentCRM installed alongside FlowMattic on your site.
What if a Reform respondent is already a FluentCRM contact?
The step uses Create or Update Contact, so the existing contact is updated with the mapped answers instead of a second contact being created.
Are older Reform responses imported into FluentCRM?
No. Only responses submitted after the workflow is active trigger it. Earlier responses stay in Reform unless you add them some other way.
